Experience which demonstrates ability to analyze problems and communicate solutions.
Work experience interpreting and communicating complex policies.
Experience managing multiple competing priorities independently.
Experience which demonstrates proficiency using information systems/software the Microsoft suite and other technologies (e.g. Zoom MS Teams WebEx etc.)
Experience working with academic progress reports (APRs) graduation processing or academic records in higher education.
Event coordination experience especially related to commencement or other large-scale university events.

Job Description:

The Office of the Registrar at Iowa State University is seeking applicants for a Registrar Specialist I. The Registrar Specialist I will join the Certifications and Eligibility team and will organize degree completion processes perform certifications for veterans and eligible persons using military benefits and serve as a member of the commencement planning team. This role involves problem-solving collaboration with campus and external partners and supporting key university events.

This position will also be expected to assist with the university commencement ceremonies at the conclusion of spring and fall terms.

What you will be doing:

  • Review graduation applications and certify degree completion using audit tools.
  • Communicate registration academic status transfer credit and graduation policies to students and advisors.
  • Interpret academic catalog and university college and departmental policies.
  • Provide training and outreach to employees and campus stakeholders.
  • Support final degree certification and manage graduation application systems.
  • Handle official document requests (e.g. notarization apostille for diplomas and transcripts).
  • Provide customer service for degree completion and graduation inquiries (phone email).
  • Certify veterans and eligible persons for military benefits; maintain compliance records.
  • Collaborate with the Military Student Affiliated Center and present benefit information.
  • Support commencement planning: data collection website updates logistics and event assistance.
  • Organize documentation for commencement and benefit-related compliance inquiries.

Example of Duties

Research interpret clarify and apply varied policies regulations procedures and guidelines and analyze data and apply judgement.

Provide exceptional customer service to students families and individuals from across campus.

Oversee final degree certification process for conferral of the degree

Coordinate and certify licensure and credentialing requests

Develop maintain and/or follow documentation related to policies procedures and guidelines.
