The Human Resources Assistant Co-op is responsible for assisting the Human Resources department in recruitment & selection training & onboarding and health & safety.
In carrying out the duties of this position a great deal of autonomy is exercised with final overview by the Sr. Manager Human Resources. It is also important that the Human Resources Assistant Co-op works extremely closely with the Sr. Manager Human Resources to ensure that they are up-to-date on the basic overall operations of CSIs Human Resources functions.
You will learn to:
- Contribute to the development implementation and evaluation of employee recruitment selection and retention plans and processes.
- Develop implement and evaluate employee orientation training and development programs.
- Collaborate with others in the development implementation and evaluation of organizational health and safety policies and practices
- Research and analyze information needs and apply current and emerging information technologies to support the human resources function.
- Conduct research produce reports and recommend changes in human resources practices.
Duties and Responsibilities
- Assist in recruitment and selection of qualified candidates for all available student employment opportunities within Conestoga Students Inc. (CSI) and Conestoga Students Services Inc. (CSSI)
- Post jobs collect & screen applications schedule interviews and create offers of employment
- Conduct reference checks as necessary
- Compile send and collect orientation packages/information
- Ensure all new hire onboarding packages are completed following up with employees as necessary
- Assist with conducting all new hire onboarding and training sessions (training sessions include but are not limited to Health & Safety WHMIS Violence & Harassment and AODA)
- Assist in ensuring all Health & Safety practices are up-to-date and meet legislative requirements
- Assist in ensuring employee policies and procedures are up-to-date and meet legislative requirements
- Administration and maintenance of the CSI HR email inbox responding to general inquiries and routing correspondence to other parties as appropriate
- Complete organizational/special projects as assigned by HR Coordinators and/or the Sr. Manager Human Resources
Other General Duties
- Work in accordance with corporate by-laws policies and procedures particularly to the CSI Mission Statement
- Adhere strictly to health & safety laws policies and procedures
- Maintain strict confidentiality for business practices
- Work in an organized manner where detail accuracy and confidentiality are critical
- Mandatory attendance at CSI related training days
- Other duties as assigned
Working Conditions
Physical Demands
This position may spend long hours sitting and using office equipment and computers which can cause muscle strain. Lifting of supplies and materials up to 30lbs is required from time to time.
Environmental Conditions
This position performs work from a suitable location of their choosing and may be faced with frequent interruptions and meetings with others on a regular basis. Travel between campuses and performance of work from home is required as needed. Some work may be required after office hours and on weekends.
Sensory Demands
This position requires long periods of intense concentration. The incumbent may also spend long hours on the computer which requires visual focus attention to detail and high levels of accuracy.
Mental Demands
This position is expected to manage and meet multiple competing deadlines which can cause significant stress. The incumbent also deals with a wide variety of people on various issues.
Qualifications
- Must be enrolled in a full-time program at Conestoga College and be a fee-paying student
- Preference will be given to those in a program related to Human Resources or a related field
- Experience in customer service or office administration would be an asset but not required
- Must be a team player and enjoy working with new people
- Candidates must also be able to demonstrate the following:
- Ability to work efficiently without sacrificing the overall quality of work
- Demonstrated excellent communication (verbal and written) and organizational skills
- Must be a quick learner and be able to adapt to change
- Ability to handle multiple competing priorities
- Consistent and reliable access to a stable internet connection
Student Eligibility
All students in this position must:
- Be in a full-time degree diploma or certificate program that has been approved for funding by the Ministry of Training Colleges and Universities (MTCU)
- Be on a Co-op Work Term
- Have a valid Social Insurance Number
International Students Must:
- Hold a valid Canadian Co-op Work Permit that allows on-campus employment
- Adhere to all requirements stated on their Work Permit
- Adhere to all Canadian student visa requirements
Domestic Students Must:
- Be a Canadian citizen permanent resident or protected person (under the immigration act)
- Be eligible for OSAP or another provinces student financial assistance program and show at least one dollar of need on their assessment. Or be in receipt of funding from a First Nations band or similar sponsoring agency and provide a budget demonstrating financial need
- Provide a letter of explanation and budget demonstrating financial need if they are restricted from OSAP or another Provincial Government student assistance program. Restricted students are expected to be working toward bringing their student aid status back into good standing.
