This position will offer great benefits with the state including 15 days of annual and sick leave per year or more depending on applicable state service.

The Executive Assistant to the President is responsible for providing comprehensive executive support in a one-on-one working relationship to the President in managing the day-to-day operations of the school. The position serves as secretary to the Board of Directors and well as liaison to the Foundation Board Vice Presidents and government agencies officials including but not limited to the Offices of the Governor State Department of Administration State Superintendent of Education and State Ethics Commission. This position is the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President. The job duties include but are not limited to:
  • Complete a broad variety of administrative tasks that facilitate the Presidents ability to effectively lead the organization while maintaining discretion and confidentiality in relationships with all internal and external parties including:
    • Providing sophisticated calendar management for the President.
    • Prioritizing inquiries and requests while troubleshooting conflicts making judgements and recommendations to ensure smooth day-to-day engagements.
    • Complying with administrative rules set in bylaws regarding all school-related matters.
    • Assisting with special projects; designing and producing complex documents reports and presentations.
    • Collecting and preparing information for meetings with staff and outside parties.
    • Composing and preparing correspondence.
    • Maintaining contact lists making travel arrangements and completing expense reports.
  • Work closely with the President and administrative leaders to keep them well informed of upcoming commitments and responsibilities following up appropriately. Serve as a monitor for direct access to the Presidents time and office and assisting in creating positive outcomes. Conserve the Presidents time by reading researching collecting and analyzing information as needed in advance. Coordinate all Administrative Team meetings and/or retreats and assist with other meetings and events as needed.
  • Provide gatekeeper and gateway role providing a bridge for smooth communication between the President and campus community demonstrating leadership to maintain credibility trust and support with all stakeholders. Complete projects by assigning work to appropriate staff on behalf of the President.
  • Coordinate the Presidents outreach activities. Follow up on contacts made by the President to cultivate ongoing relationships.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the President including those of a highly confidential or critical nature. Researches and prioritizes before determining the appropriate course of action referral or response exercising judgement to reflect Presidents style and organization policy. Communicates directly and on behalf of the President and responds to emails/texts/phone calls during and outside of normal business hours as needed.
  • Serve as Board Secretary and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop compile and distribute presentation materials; and record meeting minutes. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
  • Represent the school and the Office of the President in a positive light through great follow-through skills and sound judgment having sound knowledge of the Schools mission and philosophy.
  • Performs other duties as assigned by the President.

Minimum and Additional Requirements

Bachelors degree or a related field and experience in public administration business administration planning or public relations; or a high school diploma and 7-10 years experience in business administration planning or public relations.
