JOB PURPOSE:
Manage payroll team to ensure all processes and procedures regarding the preparation of employee paychecks are completed and all data is presented accurately. Train all parties associated with the payroll process both within and outside the payroll department with a focus on employee development.
ESSENTIAL RESPONSIBILITIES:
- Support and emulate the Companys Core Values.
- Complete continuing education training to gain knowledge and stay current with proper accounting standards treatment and expand personal skill set.
- Schedule organize and distribute workload among payroll team.
- Teach the correct payroll processes to the payroll administrators branch office managers and all other operational staff and managers where relevant.
- Oversee day to day functions of the department including auditing employee work reviewing union pay rate and benefit updates to ensure all state company and union rules/guidelines are followed weekly.
- Manage and develop team members and through leadership encourage them to grow professionally.
- Maintain all payroll procedures and ensure completion each pay period.
- Prepare miscellaneous reports for management team and outside agencies.
- Process and distribute W2s and associated reports to employees.
- Organize and pay multiple yearly bonus plans.
- Review time sheets wage computations and other information to detect and reconcile payroll discrepancies missing information and question the reasonableness of data.
- Assist in multi-state payroll for approximately 3200 union employees and 300 non-union support staff and managers.
- Collaborate with payroll team members and/or other departments to implement process improvement initiatives to increase accuracy efficiency and timeliness of data/reporting. Support the process improvement group with company-wide initiatives that may include both accounting and operational processes.
- Record employee information such as exemptions transfers and designations to maintain and update payroll records. Keep track of leave time such as vacation and personal time for employees.
- Oversee company certified payroll requirements are being met and sign reports.
- Support both the internal and external audit functions including maintaining proper documentation according to the internal control framework.
QUALIFICATIONS:
Education and Certifications
Required:
- High school diploma or equivalent.
- 3 years payroll or accounting related experience and/or training in a leadership role. A combination of education and experience may be considered.
Preferred:
- Bachelors degree from an accredited university in accounting finance or a related field.
- Working knowledge of AS400 financial system or other payroll system with the experience of managing employees.
