This position is in the Supply Unit for the Division of Administrative Services and is responsible for issuing materials equipment and supplies in a supply warehouse operation. This position is also responsible for staging loading and shipping of supply inventory and other items.

Knowledge Skills and Abilities

Knowledge of standard inventory control procedures.
Skilled in data entry.
Must be detail-oriented with the ability to verify accuracy and identify discrepancies.
Skilled in the operations of a hand truck electric pallet jack and forklift.
Skilled using calculator office copier and computerized manifest system (e.g. Florida Real-Time Vehicle Information System FRVIS or ORION Onlin Registration and Identity Operating Network).
Skilled in Microsoft Word Excel and Outlook.
Ability to organize supplies and materials in numeric or alphabetic order.
Ability to work independently and in a team environment.
Ability to use good judgment.
Ability to provide professional customer service to internal and external customers.

Duties and Responsibilities

This position is authorized to manage the operations of the Accounts Payable Section ensuring compliance with the Department of Highway Safety and Motor Vehicles policies section 215.422 Florida Statutes section 112.061 Florida Statutes and the Rules and Regulations of the Department of Financial Services (DFS). They are authorized to act as a liaison between DFS the Auditor Generals office vendors department personnel and other agencies concerning accounts payable and travel transactions. The incumbent of this position is authorized to approve purchases and payment of invoices in accordance with Department policies relating to procurement of commodities/services and travel. They are responsible for ensuring adherence to the mandates of section 215.422 Florida Statutes concerning limitations on purchase approval processing time and automatic imposition of penalties in the event of non-compliance. In addition they are responsible for ensuring adherence to the requirements of section 112.061 Florida Statutes concerning travel authorization and reimbursement. The incumbent is authorized to direct the compilation of fiscal data for reporting purposes as well as the development of accounting procedures and controls for accounts payable and to direct the development of computer-based applications to facilitate the payment of obligations.

Knowledge Skills and Abilities

Knowledge of Florida Statutes 215.422 and 112.061

Knowledge of policies and procedures related to procurement of commodities/services and travel.

Ability to follow and develop accounting procedures and internal controls.

Skill in processing FLAIR Disbursement transactions.

Knowledge of MyFloridaMarketPlace (MFMP).

Skill in Microsoft Office applications including Excel Word and Outlook.

Ability to use analytical and critical thinking skills.

Ability to use sound judgment to identify problems generate and evaluate alternative solutions and make recommendations.

Self-starter with the ability to work in a fast-paced environment and manage completing deadlines.

Skill in communicating effectively with internal and external customers verbally and in writing.

Ability to work well independently yet works cohesively within the section to maintain internal control measures.

Preferred Qualifications

Microsoft Office applications including Excel Word and Outlook.

Knowledge of the requirements of section 215.422 F.S. and 112.061 F.S.

Knowledge of FLAIR disbursements and MFMP transactions.

General Information

Applicants being considered for employment will be required to submit to a fingerprint-based background investigation which will include a check of the criminal history records of the FBI. Fingerprints and associated information/biometrics will be retained in the FBIs Next Generation Identification (NGI) system and fingerprints may continue to be compared against fingerprints submitted to or retained by NGI.

FLHSMV employees are paid once a month on the last workday of each month. All state employees are required to participate in the direct deposit program pursuant to s. 110.113 Florida Statutes.
