Job Description

Deputy Clerk/ Mental Health Department

Work Hours:
80 Hours Bi-Weekly
Starting Salary:
$ 20.00 an hour
Requirements (Education Experience Licensure Certification):
Any combination of training and work experience which indicates possession of the skills knowledge and functions listed. Previous experience with the court system legal terminology and strong customer relations skills are preferred.
  • High school diploma or GED
  • Must have strong communication and customer service skills and a demonstrated ability to use good judgment
  • Must be at least 18 years of age
  • Must be a US citizen
  • Must be drug free
  • Must be able to speak read and write the English language
  • Must adhere to the Courts dress code policy
Additional Qualification
Applicants that speak a foreign language or is American sign language proficient
Additional consideration will be given to individuals that are Spanish proficient.
Job Duties (Summary):
  • Initial point of contact for visitors to the Mental Health Department
  • Answers general questions by phone and in person regarding court related issues
  • Ability to understand the ORC Rules of Superintendence and the Courts local rules as they apply to probate matters
  • Provides forms for specific case types to the general public and attorneys
  • Reviews documents for completion and accuracy before they are presented to the magistrate for approval
  • Provides access to legal resources and information and assist with the process of filing documents
  • Provides answers to general questions regarding court procedures
  • Processes affidavits of Mental Illness or Intellectual Disabilities
  • Prepares docket sheets
  • Prepares all case entries
  • Prepares subpoenas and delivers to sheriff
  • Prepares notices of hearings and mails to all parties
  • Closes out dismissed cases
  • Communicates with lawyers doctors and social workers
  • Ensures that all information is kept confidential
  • Communicates effectively and compassionately with parents and other parties during affidavit process
  • Other duties as assigned
Knowledge and Skills
  • Ability to be cross-trained in other departments as needed by the Court
  • Perform related work or tasks as required by the Court
  • Knowledge of modern office practices and procedures
  • Ability to operate standard office equipment i.e. copiers fax etc.
  • Knowledge of basic computer applications
  • Ability to prepare work neatly and precisely
  • Demonstrate regular and predictable attendance
  • Ability to maintain harmonious working relationships with the attorneys public and employees.
  • Ability to work with minimal supervision after a training period
  • Ability to communicate effectively with individuals in person or on the telephone
  • Hearing ability sufficient to hold conversation with other individuals both in person and by telephone
  • Visual ability sufficient to effectively operate office equipment such as copier computer and printer; to read and write reports correspondence and instructions
Working Conditions and Physical Demands
  • Employees work indoors and are protected from weather conditions or contaminants
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers phones photocopiers and filing cabinets
  • This is a sedentary job and the employee will sit more than 50% of his/her workday
  • The employee is expected to use a computer keyboard for extended periods of time and occasionally lift and/or move up to 10 pounds
  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job
  • This can be considered a stressful and emotionally demanding position in a fast paced high-volume environment
