Back Office Coordinator
REPORTS TO:Supervisor Municipal Criminal Case Management
EMPLOYMENT STATUS:Full Time
FLSA STATUS:Nonexempt
CIVIL SERVICE:Unclassified
LOCATION:1000 Main Street Cincinnati Ohio 45202
WORK HOURS:35 hours per week; Mon Fri: 8:00 am 4:00 pm
TRAVEL REQUIREMENTS:None
PAY RATE:$21.59 per hour
SUPERVISOR RESPONSIBILITIES:None
JOB OVERVIEW:
The Municipal Civil division processes filings and entries related to lawsuits with damages of $15000 or less. This position provides services from prejudgment to postjudgment court filings. Specifically the Case Management Team is responsible for origination of new cases mailing new cases and garnishments daily Certificates of Judgments processing failed certified mail returns transfer of cases processing electronic filings and specific assignment commissioner tasks.

ESSENTIAL DUTIES:
Clerical Services (40%)
  • Perform various clerical tasks to assist with the efficient operation of the department.
  • Assemble forms processed during the work shift in preparation for additional processing scanning or filing.
  • Sort and distribute incoming mail.
Data Entry (40%)
  • Update data for documents into the Case Management System.
  • Enters the necessary data to generate notifications by postcard/regular mail.
  • Inputting/verifying new cases
Customer Service (20%)
  • Greet the public and provide exceptional customer service both inperson phone and through mail and email correspondence.
OTHER DUTIES AS ASSIGNED

Knowledge of:
  • No specialized knowledge required.
Ability to:
  • Interact and build relationships with people of diverse backgrounds personalities and characteristics including but not limited to age genderidentity race/ethnicity religious beliefs disability status sexual orientation socioeconomic status and physical appearance.

Skilled in:
  • Customer service.
  • Data entry and analysis. Skilled on a computer to quickly and accurately enter access update and manipulate data. Needs to have strong attention to detail and a commitment to accuracy.

  • Effective communication.
QUALIFICATIONS:
  • High school diploma or equivalent.
  • Prefer one (1) year of professional experience in an office environment banking or customer service.
  • Some experience in customer service.
PHYSICAL DEMANDS & WORKING CONDITIONS:
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers phones photocopiers and filing cabinets. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is primarily a sedentary job. The employee will sit 60% and on feet 40% of their workday. The employee is expected to use a computer keyboard for extended periods of time. The employee is expected to use a computer keyboard for extended periods of time and lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
