Responsibilities

Position Summary:The Scheduling Supervisor under the supervision of the Operations Manager will be responsible for designing and managing vehicle operators schedules to ensure company and contractual ontime performance and productivity goals are met or exceeded while optimizing operational efficiency minimizing cost and customer complaints.

Key Responsibilities & Accountabilities: The following is not intended to be a comprehensive list of the essential functions of the Scheduling Supervisor position but rather a general description of some of the requirements necessary to carry out the duties and responsibilities of this position. The Scheduling Supervisor must be able to perform the following tasks among others:

  • Design and implement vehicle and operator schedules using transit scheduling software to deliver reliable transit services while optimizing operational efficiency and minimizing cost.
  • Ensures scheduling protocols are in compliance with both client and company policies and procedures
  • Prepares verifies and authorizes employee schedules and work records for payroll purposes
  • Defines and publishes vehicle operator schedules based on service demand budgeted service hours in accordance with collective agreements and contractual requirements
  • Ensures scheduled and actual ontime performance consistently meets contractual requirements
  • Maximizes productivity while minimizing onboard time to meet contractual requirements
  • Ensures work is fairly assigned according to local policies meeting operator expectations (fulltime versus parttime) and in compliance with collective agreements
  • Maximizes wage to revenue percentage and minimize overtime and nonrevenue hours
  • Continually works toward zero customer complaints related to schedules
  • Ensures reservationists schedule and book passenger trip requests to achieve system goals (productivity ontime performance efficiency minimum ride lengths etc.) while considering operator/vehicle availability vehicle capacity types and budgeted service hours
  • Develops vehicle operator schedules that minimize overtime and nonrevenue hours and scheduling related customer complaints
  • Maintains uptodate trip records making all necessary changes in status client contact information fare/rider type or other important data
  • Liaises with the Operations departments regarding booking and scheduling issues
  • Identifies selects trains coaches and manages the performance of department staff
  • Communicates clearly each staff members roles and responsibilities and provides support to help staff accomplish assigned objectives
  • Manages department attendance and absenteeism
  • Determines whether to discipline and applies discipline including suspensions and terminations according to company policy and in compliance with collective agreements
  • Participates in and advise management regarding labour relations strategies and relationships
  • Represents Company in grievance procedure
  • Respects and maintains the confidentiality of all employee records business records client and customer information data and other information not otherwise available to the public
  • Provides backup support for the Operations Team and Chief Operations Supervisor as needed
  • All other duties as assigned

Working Conditions: The Scheduling Supervisor works primarily in an office environment. The Scheduling Supervisor may be called upon after hours from timetotime by office employees or managers in an emergency or other reasons as required. The job requires the following physical activities: sitting standing walking pushing pulling loading and unloading typing filing answering phones.

Qualifications

Qualifications:

  • Three (3) years supervisory or management experience in the transportation industry. Supervisory experience of a unionized work group in a different industry may be considered at the Companys discretion
  • Minimum of three (3) years of experience in transportation scheduling
  • Experience supervising/managing in a unionized environment
  • A valid B or C Ontario Drivers License with Z (Airbrakes) endorsement preferred
  • Minimum of three (3) years of driving experience and an acceptable driving record
  • Be able to pass and maintain a clear Criminal Background Check

Knowledge Skills & Abilities:

  • Demonstrated ability to manage with a Safety First attitude
  • Strong leadership skills with the ability to set clear expectations coach develop and motivate staff
  • Working knowledge of Trapeze or similar transit scheduling software
  • Knowledge of the transit service area and system parameters client and service operating requirements
  • Excellent communication and presentation skills with an ability to influence people at all levels of the organization
  • Strong written and verbal communication skills
  • Analytical with a strong attention to detail
  • Ability to hold the respect and confidence of all employees
  • Ability to work independently and objectively plan ahead and schedule work
  • Ability to effectively delegate tasks and provide appropriate supervision and follow up to department staff
  • Proficient in Microsoft Office software including spreadsheet wordprocessing applications etc.
  • Able to use multiline phone system and handle multiple tasks concurrently accurately and effectively
  • Strong organizational and analytical skills
  • Ability to provide excellent customer service and communicate effectively on all levels in a professional manner
