JOB TITLE: SecretaryStrategic Innovation

DUAL REPORTING: Director of Strategic Innovation

WAGE/HOUR STATUS: Nonexempt

PAY GRADE: Para 6

PRIMARY PURPOSE:

The SecretaryStrategic Innovation is responsible for providing clerical support to the Director of Strategic Innovation and the Innovation and Student Success Department; conveying information regarding school and/or district functions and procedures; ensuring compliance with financial legal and administrative requirements of assigned functions. The SecretaryStrategic Innovation is responsible for communicating with parents and campuses regarding the Spring ISD School of Choice process student transfers Advisory Committee on Education (ACE) meetings System of Great Schools (SGS) initiatives Strategic Plan Monitoring Spring ISD Instructional Calendar and the Spring ISD Grading Cycle Calendars.

All employees of SISD are expected to act with integrity support organizational goals communicate in a clear and respectful manner championing the needs of our students and drive continuous improvement.

QUALIFICATIONS:

Required:

  • High School Graduate or GED from an accredited institution
  • Three years jobrelated experience
  • Fluent in English & Spanish

Preferred:

  • Bachelors from an accredited college or university

SPECIAL KNOWLEDGE/SKILLS:

  • Advanced organizational skills in time management planning prioritizing and
  • goal setting
  • Effective telephone and interpersonal communication skills
  • Proficient skills in file maintenance and accounting
  • Advanced skills in Excel PowerPoint and Word
  • Excellent written and oral communication skills
  • Ability to manage multiple tasks
  • Excellent attendance
  • Knowledge or ability to learn the different program entities within the Director of Strategic Innovations supervision

MAJOR RESPONSIBILITIES AND DUTIES:

  • Maintain Director of Strategic Innovations calendar while keeping him/her informed of ongoing schedule changes having pertinent materials/data readily available for each appointment
  • Draft various correspondences (letters memos emails agendas etc.)
  • Effectively communicate and help resolve and direct problem situations to appropriate staff members
  • Make various conference hotel and travel reservations
  • Organize meetings workshops and seminars for all Director of Strategic Innovations programs which includes reserving and set up of meeting rooms ordering meals assembling preparing and distributing agendas handouts and meeting minutes
  • Maintain confidentiality of information
  • Maintain physical and computerized files
  • Prepare purchase orders and travel reimbursement expense payment authorizations
  • Receive sort and distribute mail and other documents
  • Create Excel data files
  • Draft PowerPoint presentations
  • Create and maintain sign in sheets and other documents for Advisory Committee on Education meetings
  • Purchase organize and set up for Advisory Committee on Education meetings
  • Communicate with district staff about department information
  • Input and monitor data related to the Spring ISD Strategic Plan
  • Create and organize files and documents related to student transfers
  • Create and organize files and documents related to the School of Choice process
  • Perform all other duties as assigned

WORKING CONDITIONS:

The usual and customary methods of performing this job require the following: ability to work and multitask in a fastpaced highintensity work environment efficiently and effectively with frequent interruptions. Multitasking efficiently in an environment that has frequent interruptions. The ability to maintain emotional control under stress. Job may require prolonged periods of time sitting reaching and repetitive hand motions; prolonged use of computer. Overtime is required as necessary.
