Title:Counseling Office Secretary Job Description (Middle School)
Job Goal:To assist the counselors and administrators in meeting the counseling and scheduling needs of students by performing clerical duties necessary in order to operate an organized efficient compassionate and helpful office.
Reports to: Administrators and Counselors
Qualifications:
- Ability to work harmoniously with students parents and staff
- Knowledge of English spelling filing and possession of excellent data/word processing skills
- Secretarial computer competency and word processing experience required. Knowledge of Excel
- Recognize and maintain the importance of confidentiality
- Possess an understanding of computer scheduling or have a willingness to learn
- Ability to work with upset and/or distraught students parents or teachers by phone and in person
- Successful experiences working with adolescents
- Strong aptitude for learning new software (ex: Infinite Campus)
Performance Responsibilities:
- Serves as the schools registrar student record technician and
performs the following duties:
- Registers new students
- Request records of all students transferring into the school
- Send out records for students who have transferred to other schools
- Maintain permanent records for all students
- Check in all incoming cumulative files
- Maintain student cumulative files for transfer to high school at the end of the school year.
- Store and post grades at the end of each trimester.
- Box up 8th grade files to be scanned/sent to high school at the end of the year.
- Print final transcripts and file before sending cumulative files to new buildings.
- Calculate honor roll and print certificates.
- Print Student of the Month certificates.
- Organize documents and registration devices for New Student Registration in the fall.
- Assist principal/assistant principal/counselors in the registration process
for the next school year including entering student
scheduling requests and computer tasks as needed.
- Make any necessary schedule corrections on student schedules both hard copy and data entry forms.
- Collect and check registrations from 6 7 and 8 grade students.
- Act as the secretary for the counseling staff (counselors SFA AEA
agency personnel);
- Notify teachers of schedule changes and make data entries on the
computer as needed.
- Become highly proficient in use of InfiniteCampus (the
pupil/personnel software) in regards to grading preparing reports
data input and retrieval
- Maintain an adequate supply of forms that are needed by the
Guidance Office.
- Request confidential information from teachers to assist counselors
and administrators.
- Welcomes students staff and families to the Guidance Office;
offers support to each person in a welcoming manner.
- Perform other duties as assigned
