Job Summary
The Leave of Absence (LOA) Assistant provides administrative support for employee leaves
and accommodations including FMLA CFRA PDL ADA and related programs. This role
ensures timely documentation case tracking and communication working closely with the
Benefits Manager and LOA Specialist to support compliance improve efficiency and enhance
the employee leave experience.
Supervisory Responsibilities: None
Essential Duties/Responsibilities

  • Provide administrative support throughout the leave of absence process includingdocument tracking deadline reminders and employee followups
  • Assist with data entry and case updates in the HRIS (Paycom) ensuring timely andaccurate information
  • Monitor leave cases for pending documentation expiration dates and upcoming return towork milestones
  • Upload and organize documents in HRIS and internal trackers
  • Send routine communications and acknowledgment forms using standardized templates
  • Prepare draft materials for case closures returntowork notices and ADA processcheckins
  • Coordinate with Payroll and Benefits teams on leaverelated status changes andpremium tracking
  • Maintain internal spreadsheets and assist with tracking metrics and outstanding items
  • Support the Benefits team with projects and audits related to LOA and ADA
  • Help ensure consistent documentation and flag potential compliance issues
  • Performs other duties as assigned

Qualifications

Required Skills/Abilities

  • Strong attention to detail and organizational skills
  • Ability to manage time effectively and handle multiple tasks independently
  • Strong followthrough and ability to track open items to completion
  • Ability to maintain confidentiality and handle sensitive information
  • Proficiency in Microsoft Excel Outlook and digital file management
  • Excellent verbal and written communication skills
  • Requires the ability to focus prioritize tasks and stay organized in a fastpacedenvironment
  • Bilingual in Spanish preferred.

Education and Experience

  • Associate degree or HR coursework preferred
  • Minimum of oneyear of administrative experience preferably in HR or a healthcare setting
  • Exposure to leave of absence processes (FMLA CFRA ADA etc.) preferred
  • Experience with timekeeping or HRIS platforms strongly preferred

Working Conditions/Physical Requirements

  • This position is onsite at the DAP Admin location with the possibility of hybrid
  • This job operates in an office setting and requires frequent times of sitting standingrepetitive motion and talking. Must be able to sit for extended periods and navigatemultiple digital systems.
  • Must be able to lift and carry items up to 50 pounds and move throughout the workplaceas needed
