Job Description

Under the supervision of the Assistant Dean of Admission the Admission Program Specialist provides administrative assistance processes inquiries and applications tracks applications and supplemental documents and performs a variety of detailoriented tasks requiring the use of advanced or complex features of UNITE or other CMS platforms and word processing systems. Serves as the primary point of contact for prospective students and walkin guests maintains office continuity throughout the admission cycle particularly during recruiting season and supports the Admission Team.

Responsibilities:

Processes and maintains data for all Juris Doctor applications.

  • Retrieves reviews and confirms application materials submitted through UNITE and CMS for accuracy completeness and potential issues for next level of review.
  • Manages UNITE and other platforms for prospective and current student data management communication plans campaigns events reporting applications decision processing marketing and university integrations.
  • Creates reports to help inform marketing recruiting and retention activities.
  • Stays current on UNITE updates and enhancements document processes and best practices and provides training to team members as needed.
  • Organizes enters and updates information required to maintain current application status changes and decisions in UNITE and Colleague.
  • Monitors applications to ensure timely completion. Communicates with applicants to request any missing information and/or documentation needed to complete their file.
  • Generates various applicant reports to verify data integrity.
  • Manages prospect communications and generates locationbased prospect student queries before offcampus recruiting events.
  • Manages other application status communications (e.g. admit waitlist deny deferrals or cancellations).
  • Manages prospect data submissions generated from EAB partnership.
  • Utilizes CMS to retrieve applicant information and reports details to Admission Team on a regular basis (e.g. waitlist confirmations census data surveys).
  • Processes and generates admission decisions letters packets and emails.
  • Oversees online enrollment deposit system. Retrieves and processes enrollment deposits submitted online via credit/debit card or by check/money order or cash.
  • Generates memos and reports for payment notification or refunds.
  • Prepares matriculant application files ensuring receipt of transcripts and verifying completion of files in Unite and Colleague for transfer to the Office of Records and Registration.

Responds to general inquiries from students faculty staff and general public about programs at the law school (dates and information concerning special events) the admission process (application requirements cost of attendance etc.) and individual application statuses.

  • Provides individual responses either in person by phone or email to students and/or authorized persons regarding specific situations or concerns about the application file.
  • Coordinates and communicates information about activities related to the recruitment evaluation and enrollment of prospective JD students.
  • Builds relationships with prospective JD students and communicates program benefits and resources to support them through the application process and eventual matriculation.
  • Exercises good judgment in handling particularly difficult or sensitive inquiries from applicants parents alumni and members of the legal community.
  • Interacts with students and their families as a representative of the admission office during special events (e.g. Open Houses and Admitted Student Events). Conducts law school tours if needed.

Coordinates and plans Admission Team visits and events.

  • Provides support for assigned prospective or admitted student events.
  • Collaborates with IT Security and other departments to reserve rooms request equipment and coordinate all logistics of prospective and admitted student visits and events.
  • Creates and monitors online event registrations in CMS.
  • Communicates event details and updates initial and final electronic confirmations to visitors and event registrants.
  • Creates gathers and distributes event materials (e.g. nametags agendas brochures).
  • Manages all aspects of individual student visits including arranging visitor parking scheduling meetings with various administrators and coordinating studentled law school tours and classroom visits.

Performs administrative and other programrelated tasks.

  • Maintains a centralized schedule of meetings recruiting events and other appointments for Admission Team.
  • Regularly checks and responds to applicant and other email inquiries.
  • Prepares and distributes admission and financial aid material for oncampus and offcampus recruiting and admitted student events.
  • Answers office phones and greets admission visitors.
  • Retrieves and distributes departmental mail.
  • Monitors orders and restocks office supplies and admission materials.
  • Registers Admission Team for recruiting events and provides inoffice support during their travel/recruiting season.
  • Reviews recruiting materials for consistency content and clear messaging and makes suggested revisions when appropriate.
  • Performs other related or special tasks as requested by the Admission Team.

Maintains sensitive and confidential information.

  • Electronically maintains and tracks applicant information including academic transcripts test scores letters of recommendation and other relevant applicant documents.
  • Maintains and processes confidential application decisions and actions.
  • Properly disposes of sensitive applicant documents.

Performs intermediate/advanced word processing tasks.

  • Maintains and updates various departmental emails letters and forms.
  • Processes mailings that require merging of mail lists with form letters labels or electronic communications.
  • Updates event handouts and agendas.

Qualifications:

  • Knowledge and skills at a level normally acquired through some collegelevel training and/or education. Bachelors degree is preferred.
  • Two years or more of office experience or training.
  • Excellent facility in using Microsoft Office Suite including Word Access Excel PowerPoint and Outlook. Experience with mainframe computer system is helpful.
  • Ability to use related office equipment including PC monitor keyboard printer telephone copier fax and calculator.
  • Ability to carry file lift reach sit speak write climb hear pull read stand type 35 wpm kneel push and see.
  • Ability to advise compare evaluate interpret organize analyze decide inspect measure plan work independently calculate diagnose instruct negotiate and problem solve.
  • Ability to sort items into categories and file alphabetically and numerically.
  • Ability to handle sensitive information and maintain confidentiality.
  • Ability to sit at desk for prolonged periods of time performing repetitive keyboarding duties.
  • Excellent professional verbal and written communication skills.
  • Organization superior attention to detail flexibility creativity excellent phone etiquette and strong ability to multitask.
  • Ability to work without supervision and demonstrate considerable initiative.
  • Ability to work closely and professionally with others as part of a team.
