IF currently has 13 facilities with 22 microcommunities scattered across Orange County Los Angeles County and the Inland Empire.
Job Description
The Administrative Assistant Provides essential support to the corporate team and works in close partnership with the Executive Assistant to the CEO. This role ensures that daily administrative operations run smoothly and efficiently in a fastpaced environment. The ideal candidate is detail orientated proactive and thrives in a collaborative setting.
Responsibilities
Administrative Support
Perform a wide range of administrative tasks including calendar management expense reporting and scheduling
Compose and prepare confidential correspondence reports and presentation materials
Manage and maintain accurate records including contracts and invoices
Handle sensitive information with discretion and professionalism
Office & Operational Coordination
Support daytoday office operations to ensure efficiency and organization
Monitor and manage office supplies; place orders as needed
Coordinate food orders and deliveries for meetings or office events
Schedule and maintain executive conference rooms and related equipment
Project & Event Coordination
Assist with planning coordination and execution of internal projects and events
Participate in committees or crossfunctional teams as assigned
Occasionally support evening or weekend events including community or committee engagements
Collaboration & Communication
Work closely with the Executive Assistant to the CEO to prioritize and execute critical tasks
Draft acknowledgment letters personal correspondence and timely followups
Serve as a reliable point of contact for internal and external stakeholders
Qualifications
Required:
23 years of experience as an Administrative Assistant or in a similar administrative support role
Proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint)
Excellent written and verbal communication skills
Strong organizational multitasking and time management abilities
Ability to manage confidential and sensitive information with discretion
Demonstrated professionalism reliability and a proactive work ethic
High school diploma or equivalent
Preferred:
Associates or Bachelors degree in Business Administration Communications or related field
Experience supporting executive leadership or Csuite level staff
Familiarity with project coordination or committee support
Experience working in nonprofit healthcare or corporate environments
Bilingual in English and Spanish
