Job Description:
The Administrative Assistant will provide comprehensive support to the Director of Pathfinder Solutions the Pathfinder leadership team and support for building administration duties. The ideal candidate will be highly motivated professional and capable of managing their workload and prioritizing tasks in a fastpaced environment. The administrative assistant is pivotal within our organization responsible for taking limited directions and transforming it into a prioritized organized list of work that can be actively managed and executed. This individual will serve as the linchpin of the organization and its connection to the broader Rochester site community. Execution ensuring that tasks are clearly defined prioritized according to business needs and tracked through to completion is key to this role.
Key Responsibilities:
- Assist in the coordination and implementation of office procedures and frequently take responsibility for specific projects and tasks.
- Manage the Directors calendar including scheduling meetings appointments and travel arrangements for the director and staff.
- Collect compile and organize material then present slide decks during business reviews.
- Prepare expense reports for program management staff.
- Prepare and edit correspondence communications presentations and other documents.
- Coordinate catering visitor and tour requests. At times may be assigned as a visitor escort.
- Forecast order inventory and administration business provided coffee and drink ordering.
- File and retrieve documents and reference materials.
- Collect and prepare reports and documents.
- Arrange and coordinate meetings and events.
- Record transcribe and distribute minutes of meetings.
- Liaise with internal staff at all levels and sit on the relevant engagement committees.
- Interact internally and externally for coordinating meetings events and various site activities.
- Manage conference areas rooms setup and liaise with facilities and space planning.
- Manage projects as assigned by the Business Director reviewing administrative practices and implementing improvements where necessary.
- Uphold a strict level of confidentiality.
- May involve periods of sitting standing walking and travel between buildings. As well as attendance and management of both onsite and offsite events and activities.
Qualifications:
- Requires a High School Diploma or equivalent and a minimum of 6 years of prior relevant experience or 2 years postSecondary/Associates Degree with a minimum of 2 years of prior related experience.
- Must be able to obtain security clearance
Preferred Additional Skills:
- Knowledge of Microsoft SharePoint and Teams
- Proficiency in MS Office (MS Excel and MS PowerPoint and Outlook Office in particular).
- Proven experience as an administrative assistant or office administrative assistant.
- Knowledge of office management systems and procedures.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problemsolving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask.
In compliance with pay transparency requirements the salary range for this role in New York State is $23.07/hr $42.78/hr.
