Job Description

The Front Office Supervisor (FOS) is responsible for oversight of all front office and Medical Records duties. The position supervises the Health Information Management (Medical Records) staff and the Front Office Representatives. The Front Office Supervisor ensures Front Office Representatives (FORs) and medical records staff work as a team to assure optimal patient flow. The FOS represents the company professionally and positively to enhance and promote the core values and mission of the organization always exercising the utmost discretion diplomacy and tact in patient/staff interactions. The FOS is responsible for ensuring the patients receive positive customer experience.

KEY ACCOUNTABILITIES:

  1. Provide and promote excellent customer service to visitors patients clients and staff in person and on the phone.
  2. Provide supervision for Medical Records staff and Front Office staff.
  3. Serves as the NATIVE HEALTH recognized agency expert regarding the Health   Information Records Program including electronic health records.
  4. Responsible for clinic flow front office to back office.
  5. Supports the organization as needed.

KNOWLEGE SKILLS AND ABILITIES:

  1. Expert knowledge in health information practices concepts and legal requirements.
  2. Able to multitask in a fastpaced demanding area while remaining calm & collected.
  3. Proficient knowledge of eligibility requirements of AHCCCS CMDP KidsCare SOBRA Sliding Fee Scale Program and Private Insurance programs.
  4. Understanding of the Health Insurance Portability and Accountability Act (HIPAA) and an ability to maintain strict confidentiality of patients information.
  5. Knowledge of general office procedures include answering phones directing calls photocopying faxing typing etc.
  6. Possess a positive attitude always.
  7. Skills and experience in supervising personnel.
  8. Proficient knowledge of multilevel funding including Federal Tribal State county ThirdParty insurance and grants.
  9. Skills in utilizing Electronic Health Records (EHR). As the super user supports training and operability needs of staff.
  10. Advanced computer skills including knowledge of software applications such as MS Word (EXCEL PowerPoint and Outlook).
  11. Ability to work under minimal supervision while meeting all requirements of the position; Ability to make decisions independently.
  12. Ability to collaborate with people and to make them comfortable regarding the release of personal financial and medical information.
  13. Ability to work simultaneously with multiple levels of supervision and differing program requirements.
  14. Ability to communicate and engage others to carry out assignments meet goals and ensure the success of NATIVE HEALTH.
  15. Ability to confirm private insurance benefits and determine associated copay requirements.
  16. Ability to accurately receive and account for cash and check payments.

Qualifications :

  1. Associate degree and a minimum of three years of supervisory experience in customer service patient registration health information and other medical office experience are required.
  2. Bachelors degree preferred.
  3. Three years of administrative/operational and supervisory experience is required preferably in a community health primary care or family medicine setting.
  4. Must have experience in handling or collecting cash payments.
  5. Bilingual (Spanish/English) is preferred.
  6. Must be flexible to work late hours as necessary.
  7. Proficient with computerbased applications such as MS Office Adobe registries/medical databases practice management software electronic health records and financial applications.

Standard Employment Requirements: 

  1. Must possess a valid and unrestricted Arizona drivers license (within 30 days of hire if applicant is from outofstate) with no DUI/DWI or reckless driving convictions in the last five years. No more than two atfault accidents in the last three years. Must maintain a valid Arizona drivers license during employment. Must be insurable under NATIVE HEALTHs liability auto policy.
  2. Must pass a criminal background check and obtain a Class I Fingerprint Clearance Card within the initial ninety (90) calendar days of employment and retain a valid card while employed with NATIVE HEALTH.
  3. Must pass substance abuse testing upon employment and submit to random testing during employment.
  4. Must provide an updated immunization (IZ) record at the time of employment.
  5. Must have a current (within 12 months) Tuberculosis (TB) skin report upon employment and provide an annual update.
  6. Must obtain Basic Life Support (BLS) certification within (90) calendar days of employment and maintain certification during employment.
