GENERAL OVERVIEW:
The Business Office Manager supervises organizes and performs Business Office functions including but not limited to accounts payable accounts receivable and general accounting for the community. This position is also responsible for coordination of information with other departments of the community and the LifeSpire Home Office as needed to manage efficient and accurate business functions. This person will supervise one administrative assistant. This position will work closely with corporate accounting for month end processing and billing. This position also supports team members and other departments and assists residents families staff vendors and visitors as needed. .
KEY DUTIES AND RESPONSIBILITIES:
- Supports the Mission Values and Vision of LifeSpire.
- Prepares Bank Deposits and Corresponding Reports
- Responsible for processing all private pay resident billing and accounts receivables
- Works with revenue cycle manager to manage any billing adjustments/refunds or billing disputes.
- Meets with all new residents and families to fully explain financial obligations paperwork and processes.
- Ongoing communication with residents and family members regarding billing collection questions and resolving issues.
- Oversees accounts payable processing for the community
- Updates and reconciles daily census records.
- Works to bring current any private past due accounts and reports any issues to the Executive Director and corporate revenue cycle manager.
- Manages vendor contracts and ensures required documentation is maintained (such as signed agreements licenses insurance coverage etc.)
- Manages all month end processes for the Community and reviews census reconciliation.
- Ensures accurate completion of Admission forms and agreements.
- Participates in month end process to ensure claims Rehab bill ancillary and Pharmacy bill are accurate
- Recognize and bring to managements attention inconsistencies errors or the need for additional training when working with other departments.
- Compiles and prepares data and reports as required by Administrator and/or Corporate.
- Other duties as assigned by Administrator Executive Director or Associate Director or Home Office.
- Assists with annual budgets working with department heads to help compile department budgets into a consolidated community budget
- Assists Executive Director with monthly variance reporting
Qualifications
- Ability to maintain and strengthen positive working relationships with coworkers residents families and vendors.
- Strong organizational skills with attention to detail
- Strong verbal written and interpersonal communication skills.
- Selfmotivated and directed with the ability to work independently with minimal supervision
- Strong computer skills experience with relevant accounting software and ability to master new software programs..
- Proficient with Microsoft Office programs
- Strong customer service and problem solving skills and ability to resolve issues and communicate resolutions with other parties.
- Bachelors Degree in Business or Accounting (or a closely related field) preferred with an emphasis in Accounting/Finance; or equivalent experience.
- Medicare/Medicaid billing preferably in a continuing care longterm care or skilled nursing facility is preferred.
- 12 years accounting experience
