Assistant Administration Mobilisation and Compliance

The Opportunity
We are currently seeking a detailoriented and proactive Administration Assistant to join our clients team. Reporting to the State Operations manager among other administrative duties you will oversee and support the compliance and mobilisation of employees and contractors across remote and regional Australia.
Youll be a key administrative linchpin ensuring our teams arrive onsite equipped certified and on time.
Key Responsibilities
- Administer Employee and Stakeholder profiles in SAP and CAMS
- Coordinate mobilisation logistics including travel accommodation and presite arrangements
- Maintain and manage employee compliance records (licenses inductions medicals certifications)
- Support onboarding of new staff and contractors ensuring all preemployment and siteentry requirements are met
- Assist with workforce rostering and deployment planning
- Communicate effectively with project teams supervisors and HR to align mobilisation timelines
- Prepare documentation for audits and ensure adherence to company compliance standards
- Update systems with current personnel data and compliance status
About You
- Proven experience in administration mobilisation or HR coordination (experience in construction mining or infrastructure sectors is highly regarded)
- High level of accuracy and attention to detail
- Strong organisational and time management skills with the ability to juggle multiple priorities
- Excellent communication and interpersonal skills
- Proficiency with Microsoft Office; familiarity with compliance and workforce planning software is a plus
- A flexible and solutionfocused mindset particularly when coordinating across remote locations and tight timelines
- Maintain good working relationships with clients and subcontractors
- Strong aptitude in Excel and Microsoft Word
- SAP & CAMS systems experience is wellreceived.
