The Edmonton Election is a largescale complex highly legislated civic project that is held every four years featuring tight timelines and a broad range of stakeholders. It is a project that requires agility precision and dedication offering a unique opportunity to contribute to a process that enables Edmontonians to vote for Mayor and Council and Edmonton Public School Board or Edmonton Catholic School Division trustees.
As our Election Assistant Institutional Voting reporting to the Election Specialist Institutional Voting youll be responsible for supporting the implementation of the Institutional Voting Strategy including providing direct voting opportunities to electors at Senior Accommodation Facilities (SAFs) postsecondary institutions hospitals shelters and indirectly to electors in correctional facilities. You will also be responsible for liaising with facility contacts to arrange site visits and meetings. Your work will involve collaborating with other members of the Election Team to meet the logistical requirements of these specialized voting opportunities.
What will you do
- Coordinate and schedule site visits and meetings with institutional facilities maintaining detailed records
- Serve as the main point of contact for facilities and stakeholders providing election information and addressing inquiries
- Support the Election Specialist in organizing institutional voting teams including scheduling training and managing logistics for voting supplies
- Collaborate with recruitment training and warehouse teams to ensure adequate staffing training and supply management for institutional voting
- Manage voting opportunity cancellations coordinate alternatives and provide onsite logistical and troubleshooting support to voting teams during voting days
- Assist with general election support and administrative tasks including front desk reception and gathering election information for postelection reports
- Provide feedback on institutional voting processes and respond to public inquiries escalating complex issues as needed
- Ensure strict confidentiality and neutrality in all interactions safeguarding personal and sensitive information

- Completion of grade twelve (12) including business subjects related to training in computer applications or completion of an appropriate certification program from an approved school/college
- Experience working in an administrative capacity at the City or a large organization or municipality
- Knowledge of general office practices records keeping customer service skills and dealing with the public
- Valid Class 5 drivers license and access to a vehicle for conducting site visits
Skills required for success:
- Excellent written and verbal communication skills and the ability to maintain professionalism and neutrality when interacting with the public
- Experience in an administrative role at a municipality or large organization
- Knowledge of general office procedures record keeping and customer service
- Ability to manage a large volume of phone and inperson inquiries in a calm professional and helpful manner
- Superior customer service skills and experience working with diverse people
- Ability to maintain accurate records and prepare reports
- Ability to learn quickly and adapt to change
- Excellent organizational time management and prioritization skills with strong attention to detail
- Ability to work under pressure and meet tight deadlines in a stressful environment

Work Environment:
- The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.
- Possible Evening and Weekend Work. Availability to work evenings and weekends may be required during peak periods to ensure operational efficiency and meet business demands.
