Job Description

Ergon Inc. seeks a fulltime Corporate Fleet Administrator to join our Corporate Procurement Services team. The Corporate Fleet Administrator is responsible for the strategic sourcing procurement and operational oversight of the organizations lightduty vehicle fleet. This role ensures efficient costeffective management of all fleet assets and associated programs through Motus including maintenance fuel cards and employee vehicle reimbursements. The position requires strong vendor relationship management negotiation of purchasing agreements and effective collaboration with internal and external stakeholders.

Education and Experience Requirements:

  • Bachelors degree in business or a related field
  • 5 years or more of experience in a fleetrelated capacity preferred
  • Experience in procurement fleet administration or the automotive industry preferred.
  • Ability to work independently and take initiative with minimal supervision.
  • Strong attention to detail accuracy and effective time management.
  • Highly organized with the ability to manage multiple tasks and priorities effectively.
  • Excellent written and verbal communication skills.
  • Experience with thirdparty fleet and reimbursement management platforms (e.g. Motus telematics maintenance portals) is a plus.
  • Proficiency in Microsoft Office Suite especially Word and Excel.

Duties and Responsibilities:

  • Fleet Procurement & Sourcing
    • Build vehicle specifications and write AFEs for management approval.
    • Source evaluate and procure lightduty fleet vehicles aligned with operational and budgetary needs.
    • Negotiate fleet purchase terms and conditions with dealerships and OEMs.
    • Develop and manage strategic partnerships with key local automotive dealerships.
    • Manage disposal of fleet assets.
  • Program Management
    • Administer and optimize the fleet fuel card program ensuring compliance and cost control.
    • Manage the fleet maintenance program tracking performance scheduling service compliance and tag title and registration.
    • Administer the Motus vehicle reimbursement program including onboarding/offboarding facilitate monthly driver reimbursements and reporting.
    • Manage reservations and maintenance of small corporate pool car fleet
  • Vendor & Contract Management
    • Negotiate implement and manage strategic fleet purchasing agreements and service contracts.
    • Monitor vendor performance resolve issues and ensure SLAs are met.
  • Data & Compliance
    • Maintain accurate fleet records reporting and compliance documentation.
    • Ensure adherence to company policies state regulations and corporate risk management guidelines.
  • Communication & Coordination
    • Act as the central point of contact for fleetrelated inquiries across departments.
    • Collaborate with Finance HR Risk Management Accounting Tax and Operations to support fleetrelated needs and employee reimbursements.
