Key Tasks and Responsibilities
As part of the Knowledge Management team you will have the following responsibilities:
- To ensure the provision of relevant portfolio of information and documentation for ESA workforce to enable them to perform their tasks in a most effective and efficient manner according to stateoftheart knowledge and aligned with applicable standards;
- To manage acquisitions
- Evaluate user needs and the usage of existing portfolio;
- Propose the yearly portfolio based on the usage and the need ;
- Yearly acquisition of the online portfolio including negotiation with publishers regarding pricing and delivery schedule;
- Manage ad hoc document supply (both online and physical whereas the preference is on online resources);
- Manage personal subscriptions;
- Manage purchase orders adhering to the agreed invoicing process. All purchases shall be approved by Technical Officer;
- To manage ESA and interlibrary loans
- To ensure findability and access of the available resources;
- Update the Library Management System (Primo ExLibris) with the licenced material of journals and databases and ad hoc purchases;
- Provide easy access to resources that are not in the discovery module (NEN Connect & Economist Intelligence Unit);
- Update AtoZ lists;
- Manage a Library service point in ESTEC;
- Manage library tools
- Support the procurement of the yearly LMS license Alma/PrimoExLibris;
- Manage the LMS and related customization;
- Support establishment of new license agreements when applicable;
- Liaise with the ESA IT department in charge of servicing and maintaining Library IT infrastructure and liaise with external system providers where applicable;
- Develop manage and continuously improve the Library presence in intranet and Library website;
- Monitor and report on usage and value of the service for the Agency;
- Promote the activities of the library within the Agency;
- If requested Communication materials for outreach;
- Proposal for improvements and action plan for implementation.
Qualifications :
Skills & Experience
You will have the following qualifications and relevant experience:
- Bachelors degree in relevant direction;
- At least 2 years demonstrated document management experience and related experience in technical domain(s);
- Experience with Sharepoint Online/365 library portals;
- Experience in Coordination of Third party requests;
- High level communication and organizational skills pay attention to details provide flexibility and prioritize activities in close coordination with formal interfaces;
- Forward thinking and continuous improvement of practices;
- Fluency in English is mandatory; knowledge of another European language is an advantage.

This job is located in Noordwijk.
This role is with fiexed term contract for 1 year.
