Summary:

The Academy for Interdisciplinary Innovation at University College is seeking a dedicated and organized Administrative Coordinator to support various administrative functions including course scheduling event management and office coordination. This role requires a high level of professionalism excellent organizational skills and the ability to work independently. This is a primarily inperson position on VCUs Monroe Park campus with occasional options to telework per VCU policies.

This is a great entry to midlevel position for someone with a passion for education and innovative practices. The future of education is occurring right here at VCU and this is a prime opportunity to get in on the ground level. The Academy for Interdisciplinary Innovation at University College comprises Interdisciplinary Studies the da Vinci Center for Innovation and the Institute for Transformative Learning.

Typical Duties

Typical duties and responsibilities of the Administrative Coordinator include but are not limited to:

Course Maintenance & Digital Organization:

  • Managing course scheduling forms for the unit through central administration
  • Handling course overrides and related administrative tasks
  • Collecting and sorting course syllabi each semester
  • Logistical support for faculty Promotion & Tenure process
  • Maintaining the shared Google Drive

Event Support:

  • Lead the planning and execution of Fall and Spring Commencement ceremonies
  • Support Fall Convocation Fall and Spring Orientations Open House Events and Recruiting Events
  • Distributing the Common Book

Office Management:

  • Greeting guests for advising and assisting with checkin
  • Maintaining office supply closet including technology and promotional materials/merchandise
  • Maintaining shared spaces in multiple buildings including calendar management
  • Monitoring general email accounts and responding promptly or escalating as necessary
  • Providing scheduling support for incoming student interviews working closely with the Director of Advising & Life Design and Enrollment Coordinator
Qualifications

Minimum Qualifications

  • Bachelors degree and 1 to 3 years of relevant professional experience or equivalent combination of education training and experience;
  • Proven experience as an administrative assistant office manager or similar role;
  • Exceptional written and verbal communication skills; ability to provide excellent service to faculty staff students and outside constituents;
  • Experience leading or supporting events;
  • Strong organizational timemanagement and multitasking skills;
  • Proficiency in Google Suite with the ability to learn new software as needed;
  • Ability to adapt to change and ambiguity; ability to work across departments;
  • Ability to work independently with minimal supervision;
  • Demonstrated experience working in and fostering an environment of respect professionalism and civility with a population of faculty staff and students from various backgrounds and experiences or a commitment to do so as a staff member at VCU.

Preferred Qualifications:

  • Experience in higher education;
  • Experience with Slate CRM;
  • Experience with Smartsheets.
