As a Personal Assistant & Property Manager you ll be responsible for supporting a busy executive leadership team by managing both personal tasks and highend property operations. This role includes handling errands coordinating travel organizing events managing household staff and vendors overseeing property maintenance and ensuring everything runs efficiently and discreetly.
This position is ideal for someone highly organized proactive and capable of maintaining confidentiality while managing multiple moving parts in a fastpaced everchanging environment.
Personal Assistance
Run errands manage personal shopping and handle special requests for the executives
Coordinate travel and scheduling in partnership with the Executive Assistant
Organize private and professional events including vendor communication and onsite
Handle confidential communications and sensitive documents with discretion
Ensure all NDAs and waivers are completed for third parties accessing properties or private assets
Property Oversight
Oversee daily operations of multiple properties including inventory management and staff coordination
Coordinate repairs routine maintenance cleaning and landscaping services
Supervise vendors and ensure work is completed to high standards
Manage renovation and upgrade projects from planning through
Monitor property security and ensure all safety protocols are in place
Financial Coordination
Track propertyrelated and personal expenses
Submit detailed expense reports and coordinate payments with the finance lead
Support budgeting and identify areas for potential cost savings
Other Duties
Travel with executives and their family when required
Maintain ongoing communication and availability including evenings and weekends
Use a companyprovided phone for all communications related to the role
Typically requires a minimum of 3 5 years of relevant experience as a personal assistant estate manager or operations role
Experience managing residential properties and overseeing vendors
Comfortable using mobile apps and communication platforms
Willingness to travel and adjust to nontraditional hours
Experience supporting executives or highprofile individuals
Familiarity with home automation event logistics and renovation management
Background in luxury service hospitality or project coordination
Ability to stay calm and find solutions quickly when unexpected issues arise
