What You Will Be Doing

Under general direction from the Member Education Center Assistant Manager the Office Assistant 2 position functions within the Member Education Center for the Division of Retirement and Benefits. It is responsible for manning the Divisions front desk in our office lobby answering and routing incoming calls for the division via the Interaction Client phone system general copying and mailing of correspondence for section staff sending outgoing faxes and routing incoming faxes to appropriate section staff making counseling appointments sort member correspondence and other miscellaneous tasks as assigned.

The Office Assistant 2 requires;

  • the ability to understand and participate in creating tracking and managing multiple priorities.

  • experience handling and safeguarding confidential information.

  • the ability to organize prioritize and address a very broad range of situations and use of independent judgment discretion and analytical ability to determine an effective solution.

The Office Assistant 2 leads the charge by being the first Division representative members interact with when visiting the local Juneau office. The Office Assistant 2 woks closely with technician and specialist staff in providing members with the best customer service experience.

The Working Environment You Can Expect

This position is officebased in the Juneau State Office Building. The Office Assistant 2 works the offices front desk and acts as the initial point of contact for visiting members as well as acts as the offices operator and routes incoming calls to the appropriate units.

Minimum Qualifications

High school diploma or the equivalent.
AND
One year of experience that includes clerical tasks such as greeting clients answering phones typing filing sorting mail entering data receiving payments making change or maintaining logs.

Substitution:
Education from an accredited college may substitute for the required experience (3 semester hours or 4 quarter hours equal one month of experience; 150 hours of vocation education equal one month of experience).

Special Note:
High school diploma equivalent means one of the following: 1) a G.E.D.; 2) completion of any basic adult education course equivalent to 480 class hours (16 weeks at 30 course hours per week); 3) acceptance in full standing by an accredited college or university; 4) highest grade of school completed plus an amount of paid or volunteer experience that totals 12 years and includes basic clerical tasks such as greeting clients answering phones typing filing sorting mail entering data receiving payments making change or maintaining logs.

Some positions in this class may require the incumbent to operate motor vehicles. Such positions require that the applicant possess a regular drivers license and be 18 years of age or older.

Some position in this class may require skill in typing. Recruitment and selection may include this requirement.
