Job Summary:
The PartTime Accounting Support role reports directly to the Director of Finance supports the Staff Accountant and will be expected to perform the following responsibilities including but not limited to:
Accounts Payable:
- Responsible for entering all accounts payable invoices weekly (via and QuickBooks) ensuring accuracy and proper coding of all invoices for the school.
- Assist in preparing manual AP checks as required including staff reimbursements etc.
- Responsible for followingup and research on all accounts payable inquiries.
- Maintains accounts payable vendor files (obtain W9s for all new vendors) including weekly filing of invoices if any.
- Liaise with faculty staff and parents on requisitions invoices check requests and reimbursements as required.
- Verify monthly benefits invoices against employee rosters and elections (updates) and process for payments.
- Produce year end 1099s for applicable vendors.
Payroll:
- Prepare bimonthly payroll including verifying staff attendance and stipends etc. as appropriate in collaboration with the Director of Finance.
- Ensure monthly 403(b) changes and contributions are processed timely.
- Work with staff and supervisors to ensure all nonexempt timesheets are updated properly with the proper documentation for all corrections.
- Review time off requests monthly to ensure accurate recording in the payroll/HR system.
Credit Cards:
- Upload Amazon credit card receipts in for staff purchases.
- Follow up with staff monthly regarding missing DIVVY card receipts.
Other:
- Support billing accounts receivables and cash management processes as required.
- Support the annual financial audit as required.
- Assist Director of Finance and Staff Accountant on other financial projects as needed.
Job Requirements:
- Minimum of five years experience in bookkeeping and/or related accounting and finance activities preferably in accounts payable payroll and cash management.
- Nonprofit/Independent School sector experience preferable.
- Requires solid knowledge and understanding of accounting principles.
- Highly detail oriented motivated wellorganized flexible and collaborative individual who enjoys working in a teamdriven environment.
- Able to multitask in a fast paced deadline driven environment while always maintaining a customer service focus.
- Common sense professional decorum and clear and concise communication skills are critical due to regular interaction with parents faculty and administrators and business partners.
- Proficient in Microsoft Office especially Excel and Word.
- Proficient in Google applications including Gmail Google Sheets and Google Docs.
