Job Title: Community Safety Assistant Reports to: Community Safety Coordinator FLSA Code: Parttime Nonexempt Hours: Up to 25hours/week; occasional weekends and evening hours as needed Program Area: Violence Prevention (VP) Location: Hybrid; when onsite at the Mens Center 402 N. St. Louis Ave Chicago IL 60624
POSITION SUMMARY The Program Assistant will provide critical administrative coordination and communication support to the Community Safety Coordinator. This role helps ensure the smooth implementation of communitybased strategies that aim to reduce firearm violence and promote public safety. The ideal candidate is detailoriented organized and passionate about community healing equity and justice.
ESSENTIAL RESPONSIBILITIES/FUNCTIONS - Administrative Support
- Coordinate and schedule meetings with grantees stakeholders and community partners.
- Prepare meeting agendas take notes and distribute followup communications.
- Maintain organized filing systems (digital and physical) for program documentation contracts and reports.
Communications & Stakeholder Coordination
- Assist in drafting email communications newsletters and public outreach materials.
- Maintain contact lists and stakeholder databases.
- Support planning and logistics for public events town halls and training workshops.
Data & Reporting Support
- Collect and compile data from grantees service providers and law enforcement reports.
- Assist in preparing summary reports and presentations for internal and external stakeholders.
- Help track program performance metrics feedback and impact stories.

- Assist with invoice submissions expense tracking and budget monitoring tasks in coordination with the Community Safety Coordinator.

QUALIFICATIONS Required
- Associates degree or equivalent experience in nonprofit administration public policy social services or related field OR 2 years of administrative program coordination or project support experience.
- Excellent organizational skills and attention to detail.
- Strong interpersonal written and verbal communication skills.
- Proficient in Microsoft Office Suite Google Workspace and basic data entry tools.
- Ability to work with diverse community partners and stakeholders.
- Strong project management budget oversight and grant compliance experience.
- Flexibility and teamoriented
- Valid drivers license
Preferred - Lived experience or demonstrated commitment to violence prevention traumainformed care or restorative justice work.
- Familiarity with RPSA OFVP programs or communitybased public safety initiatives.
- Experience with CRM databases or project management tools
- Experience working with government agencies law enforcement or policy advocacy organizations.

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS Work Environment While performing the duties of this job the employee will work in a multipurpose facility and/or outdoors and thus will be exposed to weather conditions prevalent at the time. The noise level in the work environment is usually moderate but can be high depending on the activities in the facility.
Physical Demands While performing the duties of this job the employee is frequently required to walk and/or sit; use hands and fingers to feel objects tools or controls reach with hands and arms; balance; stoop; regularly talk or hear. The employee must be able to bend stoop pull lift as well as have overhead extension of arms. Must be able to stand for long periods of time; be able to lift carry or move at least 50 pounds. Must adhere to proper handling and lifting techniques. Specific vision abilities required by the job include close vision distance vision peripheral vision depth perception and the ability to adjust focus.
