Job Description

SUMMARY OF POSITION:

The purpose of this position is to provide support to the Companys overall Maintenance operations. This includes but is not limited to coordinating & supporting the Account Managers Supervisors and field staff in their daily operations. This individual must possess the skills & diplomacy to work with external clients / service providers as well as internal staff for timely & successful performance. Additionally this position will oversee and support in sending out work orders preparing budgets coordinating the crews / resources purchasing supplies sending monthly property updates to the clients keeping maintenance account info updated in Salesforce Sage and Procore (Company software). This person will basically be responsible for the administrative functions of the Maintenance department.

ESSENTIAL DUTIES AND RESPONSIBILITES:

  • Assist in the coordination of base Maintenance crews and their schedule.
  • Manage the coordination of the Enhancement & UpSell crews and their schedule.
  • Assist in the support of the field crews success along with Human Resources & Safety departments as needed.
  • Communicate with clients as required to support and drive the success of the department.
  • Manage the annual calendar of account recurring servicing (irrigation inspections drainage inspections / testing lighting etc).
  • Help prepare work orders and budgets for enhancements & upsells.
  • Assist in tracking and monitoring budgets to ensure compliance with expected profit margins.
  • Assist in coordinating and updating the Maintenance route schedules for efficiency.
  • Help with purchasing and coordinating resources for the department
  • Send out notices and monthly updates to all Maintenance accounts
  • Provide Accounting department with a weekly report on completed work that needs to be billed.
  • Provide Accounting department with a monthly report on changes in monthly base account billings.
  • Support the Maintenance Account Managers with documenting client interactions requests needs issues upsells etc. in Salesforce.
  • Ensure the Companys three (3) major software are kept current and accurate with key data (Salesforce Procore and Sage).
  • Any new or additional functions oversights and responsibilities that will support the Maintenance & Specialty crew operations.
  • Perform other related duties as assigned.

QUALIFICATIONS AND EXPERIENCE:

  • Two (2) to three (3) years of landscape maintenance operations and/or logistics experience.
  • Proactive selfstarter achieving high productivity with strong attention to detail; ability to work independently with little instruction; coordinate and prioritize multiple tasks set deadlines and complete projects in a timely manner is required.
  • Demonstrate the highest level of professional and ethical conduct.
  • Positive tenacious attitude.
  • Strong verbal and written English and Spanish communication skills.
  • Ability to work in a fastpaced and sometimes unpredictable environment; works well under pressure and tight deadlines.
  • Ability to consistently apply good judgment and make good decisions.
  • Ability to always maintain confidentiality and discretion.
  • Proven analytical and problemsolving abilities.
  • Organized with a proven ability to juggle multiple projects at once.
  • Excellent leadership and time management skills.
  • Experience managing complex project/event logistics.
  • Some local travel up to 50%.
  • Must possess a valid California Drivers License.

TECHNICAL SKILLS:

  • Ability to comfortably work with software and apps on a desktop/laptop iPhone and/or iPad.
  • Highly proficient with Microsoft Office (Word Excel Outlook PowerPoint) and familiarity with Salesforce Procore and Procore.
  • Quick learner and ability to figure things out on your own.

LANGUAGE SKILLS:

  • Ability to communicate effectively in English and Spanish (oral and written).
  • Ability to read and comprehend instructions and information to effectively execute and achieve results.
  • Bilingual in Spanish is required.

EDUCATION:

  • High School or GED certificate required.
  • Landscaping construction/installation industry experience highly preferred.

PHYSICAL DEMANDS:

While performing the duties of this position the employee is regularly required to stand walk and sit for extended periods of time in a standard office work environment. The position also requires the ability to lift up to 20 lbs. unaided.

In addition while performing the duties of this position in the field the position also requires the ability to lift up to 50 lbs. unaided repeatedly throughout the workday. The employee must be able to work in all outdoor conditions: heat cold humidity dust mud etc
