EXECUTIVE ADMINISTRATOR FullTime

Position Summary:

We are seeking a dynamic and organized Executive Administrator to provide comprehensive administrative and sales support to the business owner. This role blends administrative duties with operational support including financial reporting calendar management and sales assistance. The ideal candidate will have strong Excel skills exceptional attention to detail excellent customer service abilities and experience in a highend retail environment.

Key Responsibilities:

  • Provide direct administrative support to the business owner and store management handling scheduling correspondence and general office duties.
  • Manage the owners calendar schedule meetings and ensure timely followups.
  • Process incoming mail emails and phone calls prioritizing urgent matters and coordinating responses as necessary.
  • Prepare and assist with the creation of sales reports using advanced Excel functions (e.g. pivot tables VLOOKUP) to track sales performance and financial data.
  • Support with financial tracking including inventory reports sales summaries and budgeting tasks.
  • Collaborate with accounting or financial teams to ensure accuracy in sales data forecasts and financial reporting.
  • Handle escalated customer concerns with professionalism and a focus on resolution.
  • Assist the owner in managing their time effectively ensuring key tasks are completed on time and deadlines are met.
  • Proactively identify and manage tasks ensuring the smooth operation of both administrative and retail functions.
  • Prioritize and juggle multiple tasks in a fastpaced environment while maintaining attention to detail.

Experience:

  • At least 5 years of experience in a retail or sales administrative role ideally within a highend or luxury retail environment.
  • Bachelors degree in Business Administration Retail Management Finance or related field is a plus.
  • Proven experience providing executivelevel administrative support including calendar management and communications.
  • Strong understanding of retail operations including inventory management customer service and sales tracking.
  • Advanced proficiency in Microsoft Excel including creating complex reports pivot tables and financial tracking.
  • Proficiency in Microsoft Office Suite (Word PowerPoint Outlook).
  • Comfortable with retail software systems POS systems and basic financial tools.
  • Strong written and verbal communication skills with a professional demeanor.
  • Exceptional customer service skills capable of handling client inquiries and issues with care and professionalism.
  • Ability to build and maintain strong relationships with both clients and internal teams.
  • High attention to detail with the ability to manage multiple tasks and priorities efficiently.
  • Excellent time management skills and ability to meet deadlines in a fastpaced environment.
  • Ability to think critically and proactively handle challenges or changing priorities.
  • Proactive with a strong sense of initiative.
  • Experience with luxury retail operations and highend sales environments.
  • Familiarity with financial reporting tools (e.g. QuickBooks SAP or other similar software).

Benefits:

Competitive salary based on experience and qualifications. Salary range: $80000 to $97000
