Summary

The Finance Coordinator for Student Organizations reporting to the Senior Budget Analyst supports the financial operations of student organizations funded by the Student Activity Fee (SAF). This role develops and delivers finance training manages policies and procedures ensures accurate financial reporting and processes financial transactions.
Key responsibilities include approving and reconciling purchases providing finance education to student leaders and advisors supervising one fulltime purchasing staff member and maintaining compliance with university policies. The Coordinator is critical in supporting student engagement while promoting strong fiscal stewardship within the Division of Student Affairs.

Typical Duties

Reporting to the Senior Budget Analyst the Finance Coordinator for Student Organizations develops implements and maintains comprehensive finance training and education programs for student organizations funded by the Student Activity Fee (SAF). This position is critical to supporting student organizations financial health by ensuring compliance with university and divisional policies and maintaining accurate financial systems and reporting.

The Finance Coordinator supports the Division of Student Affairs fiscal and budgetary operations by performing procurement functions vendor management journal entries in Banner Finance purchasing serving as program lead for a student declining balance card program and reconciling multiple indexes. This role also supervises the daytoday purchasing activities of one fulltime employee (FTE). The Finance Coordinator contributes to goalfocused datadriven budget management directly supporting the Associate Vice President for Finance and Innovation.

Qualifications

Typical Education and Experience

  • Bachelors degree requiredor related field or relevant professional experience.
  • 35 years experience in a position working with high school undergraduates or graduate students
  • 35 years experience in a position with fiscal responsibilities.
  • Demonstrated training and coaching skills.
  • Excellent attention to detail and ability to accurately execute financial transactions and review data.
  • Commitment to collaborative work and studentcentered service delivery.
  • Demonstrated ability to problemsolve independently using sound judgment and professional discretion.
  • Excellent written and verbal communication skills are required. Must effectively communicate with various individuals at varying administrative levels within the university.
  • Ability to respond to requests with a professional and positive demeanor; the desire to create a positive and enthusiastic environment within DSA.
  • Ability to maintain confidentiality related to sensitive data and discussions.
  • Demonstrated ability and desire to take the initiative and independently problemsolve using sound judgment and professional discretion.
  • Ability to work both independently and as a contributing member of a team.
  • Ability to function well in a complex fastpaced multitask work environment that regularly includes a variety of projects with multiple deadlines.
  • Demonstrated experience working in and fostering a diverse faculty staff and student environment or commitment to do so as a staff member at VCU.
  • Proficiency in Microsoft Office applications and Google Suite applications.

Preferred Qualifications

  • Demonstrated experience with Banner Finance and HR.
  • Demonstrated experience with RealSource and purchase card systems.
  • Experience with accounts payable corporate purchasing cards and travel reimbursements.
  • Accounting experience including demonstrated experience analyzing labor distribution reports managing endofmonth financial reports and budget reconciliations.
  • Demonstrated experience in financial roles that show progressive increasing responsibility.
  • Knowledge of studentcentered programming.
  • Demonstrated experience with the SMARTSHEET platform and Microsoft Excel.
