Job Description

Job Title: Athletics Bookkeeper I

Position Summary:

The Athletic Director Bookkeeper provides essential administrative and clerical support to the Athletic Department. This position plays a key role in organizing athletic operations managing schedules maintaining records and ensuring smooth communication among students staff coaches and parents. The ideal candidate is detailoriented organized and able to multitask in a dynamic environment.

Key Responsibilities:

Administrative Support:

Compose and type correspondence and reports for the Athletic Director.

Organize and maintain files records and department databases.

Process incoming and outgoing communication including emails and mail.

Clerical/Bookkeeper Tasks:

Answer phone calls and greet visitors in a professional and courteous manner.

Support general office operations as needed.

Handle season passes/reserved seating/AAA passes.

Purchase supplies handle bidding contracts process payment vouchers etc.

Scheduling and Coordination:

Manage and update sports team schedules.

Coordinate transportation and facility usage for athletic events.

Ensure athletic teams are prepared and equipped for games and practices.

Scheduling support staff for games.

Schedule travel arrangements for out of town games.

Maintain the Athletic calendar to ensure accurate and up to date information.

Eligibility and Compliance:

Monitor and maintain studentathlete eligibility and physical documentation.

Keep accurate records of athletic participation and compliance requirements.

Monitor and maintain athletic coaches eligibility and volunteer coaches.

Communication and Event Support:

Distribute information to students parents coaches and school staff.

Assist in planning and organizing athletic events and meetings.

Qualifications and Skills:

Knowledge of DragonFly preferred

Knowledge of EFinance preferred.

High school diploma or GED required; associates degree or college coursework preferred.

Strong organizational and time management skills.

Proficiency with computer software such as Microsoft Office (Word Excel Outlook) and database programs.

Excellent verbal and written communication skills.

High attention to detail and ability to manage multiple tasks simultaneously.

Ability to work collaboratively with diverse individuals in a fastpaced environment.
