Title: Accounts Payable Specialist
Location: Bronx New York
FLSA Classification: Fulltime Nonexempt
Role Summary: The Accounts Payable Specialist completes payments and controls expenses by receiving processing verifying and reconciling invoices. Collect vendors tax information for those that receive 1099. Accounts Payable position requires Skills in Computers Math Analytical Communication and Organizing.
Primary Job Responsibilities/Duties:
- Match all invoices to purchase order and packing slip.
- Review current invoices against vendors payment history.
- Review all invoices for appropriate documentation and approval prior to payment of multiple sites.
- Enter invoice information into QuickBooks and ensure all coding is correct.
- Charges expenses to proper accounts and correct program (site) by analyzing invoice/expense reports; recording entries.
- File all invoices accordingly by site vendor and also scan a copy of supporting documents into network system.
- Mail out payments to vendors.
- Priorities on utilities and process scheduled monthly payment over the phone or online.
- Enter all payment information into QuickBooks after setting up electronic payment.
- Prepare Reimbursements for employees by receiving and verifying expense reports
- Records need to be maintained in constant audit readiness.
- Protects organizations value by keeping all information confidential.
- Solve issues regarding accounts payable in timely and prompt manner.
- All other duties as assigned
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift and carry up to 15 pounds.
- Must be able to travel to multiple NYC sites as needed.
Work Environment / Schedule Requirements:
- Office setting with regular exposure to computer screens and moderate noise levels.
- May be required to work shifts including evenings or night tours and/or Saturdays Sundays and holidays with holiday pay differential.
Qualifications:
- Bachelors Degree in Accounting Finance Business or related field with 13 years A/P experience.
- Associates Degree in Accounting Finance Business or related field with 35 years A/P experience.
- Knowledge in Quick Books and Accounts Payable module.
- TB Testing with NCS results
- CPR / First Aid preferred
- Occupational Safety and Health Administration (OSHA) Certification preferred
- Able to operate related equipment tools and materials used in the facility

- Proven ability to work collaboratively well with diverse groups
- Proven ability to handle multiple tasks effectively under pressure
- Strong organizational skills detailoriented and efficient
- Must be able to read speak write and understand English for administrative purposes.
- Must pass drug screening to be appointed.
