The Executive Administrative Assistant duties and responsibilities include providing administrative support to the President and will interact with executive team and assigned business functions. Support managers and team members through a variety of tasks related to organization communication and review. The Executive Administrative Assistant is responsible for confidential and time sensitive material. Will perform administrative tasks and services to support the President and as directed with executive management team.
Essential Functions Performed by the Position
- Provide highlevel administrative support to President by managing schedules organizing meetings and coordinating travel arrangements with precision and discretion.
- Oversee complex calendars prioritize appointments and act as a liaison between executives and internal/external stakeholders. Prepare and edit correspondence reports presentations and other documents as needed.
- Plan schedule and facilitate executive meetings including preparing agendas taking minutes and following up on action items to ensure timely completion.
- Maintain strict confidentiality in managing sensitive organizational and personnel information exercising sound judgment in all communications and interactions.
- Assist in office management functions such as procurement of supplies vendor coordination and ensuring smooth daily operations aligned with executive needs.
- Provide support for special projects and initiatives including research data collection and preparing briefing materials or reports.
- Organize and execute company events offsites board meetings and executive retreats managing logistics from start to finish.
- Anticipate executive needs and proactively identify solutions to potential issues ensuring seamless workflow and high levels of efficiency.
- Facilitate and track bid and performance bonding needs including applications monthly and quarterly reporting.
- Facilitate letters of credit applications and administration for organization.
- Backup to maintaining ITAR registration.
- Provide insurance certificates applications and corporate insurance renewal applications IS NetWorld insurance updates and monitor monthly cargo reports.
- Support State and Canadian registrations licenses and annual report requirements.
- Organize state contractors licenses status registrations and applications.
- Develop presentations and pitches as per guidance from President.
- Create communication and newsletters as required
- Performs other duties as assigned
Knowledge Skills and Abilities
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite
- Excellent organizational skills and attention to detail
- Basic understanding of clerical procedures and systems such as recordkeeping and filing
- Ability to work independently
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact and professionalism
- Proficient with calendar management prioritization and meeting management
- Virtual Meeting Platforms (Microsoft Teams a Plus)
Attention to Detail
Qualifications :
Required Education and Experience
- Associate degree preferred
- High School diploma or GED required
- Three to five years of experience in an executive assistant role.
