Job Description

EquipmentShare is Hiring a Fuel Card Administrator

EquipmentShare is searching for a Fuel Card Administrator for our corporate office in Columbia MO to support our team as the department continues to grow.

Job Summary: As a Fuel Card Administrator you will be responsible for supporting the markets with issuing fuel cards for company vehicles managing onboarding new employees in the fuel card system and auditing multiple fuel card reports to ensure compliance within the company. You will be at the Corporate headquarters and work closely with employees in the field as well as other departments located at the Corporate Office.

Supervisory Responsibilities: None

Duties/Responsibilities:

  • Respond to electronic and telephonic inquiries.
  • Generate Driver IDs/PINs for eligible employees who have completed the Driver Qualification file.
  • Monitor daily reports to identify and resolve fuel card transaction declines.
  • Process reports of potentially suspicious charges received from Impac.
  • Conduct audits of monthly transactions.
  • Develop and distribute a PDF or notification to field personnel regarding preferred vendors/merchants to optimize potential savings including vendors/merchants specific to each region.
  • Analyze data to identify potential rebate negotiation opportunities.
  • Review Telematics data to ensure appropriate fuel card usage for assigned vehicles.
  • Process fuel card requests for new and replacement units.
  • Generate Driver IDs/PINs for eligible newly hired employees.
  • Request transaction reclassification for improperly entered transactions.
  • Deactivate Driver IDs for terminated employees.
  • Issue notifications for unverified fuel card transactions and suspend noncompliant fuel cards.

Monthly Responsibilities:

  • Collaborate with the credit card team to identify and engage with employees who frequently utilize credit cards for fuel purchases.
  • Verify employees with an active Driver ID have completed the correct policies.
  • Audit Driver IDs in the system to ensure accuracy.
  • Review fuel card usage to identify inactive cards and communicate with relevant market personnel to ascertain the reasons for inactivity.

Required Skills/Abilities:

  • Strong Communication skills.
  • Experience with Google Sheets/Excel.
  • Ability to Multitask.
  • Ability to Adapt Quickly Capacity for Rapid Adaptation.
  • Work in an office environment.

Education and Experience:

  • At least 2 years experience doing data analysis in Excel and/or Google Sheets.
  • Experience with preferred.
  • High School diploma or equivalent required. College degree in business administration preferred
  • Past experience with fuel cards or fleet management preferred.

Physical Requirements:

  • Must be able to sit for prolonged periods at a desk and work on a computer.
  • Work in an office environment.
