This position is represented by American Federations of State County and Municipal Employees (AFSCME). This position may be eligible for Police & Fire (P&F) benefits through Public Employees Retirement System (PERS) as defined by statute.
This position is being considered a job rotation. Internal and external applicants maybe considered for the position as a temporary appointment anticipated to last 6 months though may be extended or decreased due to business need. Internal candidates may be considered as a job rotation with their current managers approval.
Your role and duties
As the Office Specialist 2 you will provide clerical and technical support for the Physical Plant Manager and staff at times this will include confidential information. An important feature of this position is in the supervisors absence this position may be required to prioritize and assign emergency work requests answer often complicated questions from DOC administrators or others regarding work progress budgeting purchasing etc. This position also is responsible for: recordkeeping preparation of reports budget documentation purchase requests SPOTS cards reconciliation correspondence and supervision of adults in custody (AICs) assigned to the Physical Plant office. Other duties include gathering information research report writing delegation of emergency work requests to proper staff updating Policy and Procedure manuals collating information and researching information for reports.
Maintain invoices receipts spreadsheets and track purchases. Receive phone calls determine appropriate person for response and provide information as needed. Edit and proofread correspondence reports and memos. Input various reports into computer system including daily time sheets. Receive and review utility invoices from accounting and forward to appropriate manager for approval. Maintain a spreadsheet and filing system. Maintain and update Physical Plant employee roster and address lists. Maintain and order inventory supplies for office and shop use. Maintain accounting records to document funds received and paid in the Creative Arts Program. Supervision of adults is custody (AIC) orderly/clerks while working in the office of the Physical Plant section. Assist in the supervision of AIC workers in various shops as needed. Coordinate the EOCI vehicle fleet. Work with Automotive Technician 2 to ensure the vehicles are maintained. Maintain records and assign state vehicles to staff as they prepare to travel throughout the state. You will review purchase requests for accuracy obtain price and availability from vendors assign proper cost center and expense codes enter requests into the departments system track all requests to ensure PO number is issued follow up with vendors ensuring receipt of the request and confirm delivery dates review shipping and receiving documents to insure items received correspond with items purchased. Receive items on the departments system as needed. Communicate with central purchasing and accounting to resolve any issues to ensure vendors are paid in timely manner.

Working Conditions
This position is located inside Eastern Oregon Correctional Institution and works in close contact with adults in custody in the institution setting and may be exposed to hostile situations or incidents. You will work daily in an office environment where conversations and paperwork generated are of a sensitive nature and you must possess the ability to keep this information confidential. Daily work in a physical plant setting which is highly active and noisy area with the work being completed on time. Daily contact with a variety of trades and maintenance personnel.

The salary range listed above is for nonPERS qualifying applicants. PERS qualifying applicants may be eligible for an adjusted range to reflect an additional 6.95%.

The successful candidate for this position must pass a Criminal Justice Information Systems (CJIS) fingerprintbased background check and maintain CJIS eligibility. Due to CJIS requirements related to system access there may be some felony convictions that could disqualify you for this position. However having a felony record does not exclusively restrict you from being considered as an applicant. CJIS clearance is done at the conditional job offer.
