As an Associate Trust Officer you will be part of a team of specialists who provide effective and efficient trust services solutions to our client businesses. Among other things you will be helping Corporate Trust Officers in the department in the performance of their mandates.
A role you will love
The Associate Corporate Trust Officer assists the Corporate Trust Officer with the setup administration and client service relationship of Corporate Trust business to ensure client compliance with covenants in all types of Corporate Trust mandates and offers additional support to the Corporate Trust management team. In particular the Associate Trust Officer will:
- Set up new document files to include creating records of trust and written desk operating procedures initiating initial billing and setting up billing file and ensuring accurate information is recorded on various systems.
- Provide the Corporate Trust Department with all technical and administrative support for various types of files including escrows warrants subscription receipts P3 administration and warrant exercises/expiries.
- The Associate Trust Officer is responsible for setting up and monitoring the flow of new business files within the department. This encompasses creating the electronic client file initiating the new business checklists setting up the CART diaries and initiating the invoicing. The Associate Trust Officer also adds the new files to be database and provides follow up to the Department Managers a report of delinquent items.
- Responsible to ensure our receipt of all required documents in connection with new business are good order. Follow up with Corporate Trust Officers with any missing or deficient documents.
- Prepare Record of Trust that summarizes key points from the agreements of new business or complete the second review of the Record of Trusts prepared by the Corporate Trust Officers.
- Responsible to check that all items from the New Business Checklist are completed within the requisite deadline.
- Coordinate and assist in internal audits as required by the Audit Team
- Act as vault custodian for unique assets held on behalf of our client files.
- Research and respond to general inquiries from investors and issuers or other categories of clients covering all aspects relating to the administration of client files including review of provisions in documents in consultation with the Corporate Trust Officer.
- Monitor compliance with covenants of agreements and diarize requirements to ensure timely execution of Computershares duties which may include the notification to client company and record of receipted documents with followup as necessary.
- All billing related issues including aged receivables billing corrections and billing research items assist the Corporate Trust Officer with monitoring and controlling accounts receivables in accordance with company guidelines
- Draft/prepare correspondence and prepare statements to clients following up on any action required.
- Assist with team office projects as requested by management including activities that are not strictly related to the Corporate Trust Department.
- Provide general administrative support to the General Manager including support to othermembers of the Corporate Trust Departments management team as required.

Required:
- Postsecondary education desirable (e.g. business administration finance courses etc.).
- Canadian Securities Course or other Securities Industry training courses would be an asset.
- Industry experience preferred.
- Training and/or knowledge of PC applications (word processing spreadsheet and email) is required.
- 35 years in an office setting legal securities industry or financial experience preferred.
- Intermediate level competence in Windows word processing and spreadsheet applications.
- Knowledge of Corporate Trust business would be considered an asset
- Knowledge of basic accounting would be an asset
