We invite online applications from our civilian members for a Records Supervisor position.
PURPOSE OF POSITION
Under the direction of the Records Manager will supervise and coordinate the activity ofcivilianpersonnel in relation to the daytoday operations including records and reception personnel. Liaise with all levels of the organization other police and related agencies. Ability is required to address daytoday inquiries and concerns with subordinates.
Shall in the performance of duties respect and protect human dignity and maintain and uphold the human rights of all persons.
SUMMARY OF DUTIES AND RESPONSIBILITIES
- Provide direct supervision of the Records Section (Records Clerk and Clerk Reception) staff by monitoring and evaluating staff performance.
- Prepare performance evaluations as required by Service policy.
- Provide support and guidance for staff development delegating and assigning work.
- Liaises with platoon supervisors create and assign tasks in the records management system for uniformed members as required.
- Prepare and maintain scheduling and assignments to ensure adequate staffing levels are maintained.
- Assist the Records Manager in the development and maintenance of operating procedures for various functions performed in the Records Section.
- Facilitate/mediate employee conflict resolution sessions where necessary.
- Assist Records Manager in setting goals and objectives monitoring goals and objectives and provide input with respect to strategic planning.
- Attend meetings presentations and court as required in Records Manager absence.
- Liaise with and respond to inquiries from the public insurance companies government agencies and community partners as required.
- Responsible for their primary duties as set out in Records Clerk or Clerk Receptionist job descriptions and other duties as assigned.

Knowledge
- A thorough understandingof the organizational structure Routine Orders Policy and Procedures CALEA and practices within the Service as it pertains to duties performed
- A thorough working knowledge of police information systems and related procedures; including but not limited to: Niche CPIC PIP CROMS UCR Coding and Livescan
- Working knowledge and understanding of the Freedom of Information Act and court procedures
- Working knowledge of Microsoft Office software including MS Word and MS Excel
- Working knowledge of data entry on mainframe systems
