ORGANIZATIONAL CONTEXT
This position is based in Rome Italy and reports to the Director CFOB.
JOB TITLE: Business Support Assistant G3
TYPE OF CONTRACT: TAU

DUTY STATION (City Country): Rome HQ
DURATION: 08.05.2025 07.11.2025 (with possibility of extension up to 11 months)
BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
Administrative Support to the Corporate Planning Reporting and Budgeting Service (CFOB). This position covers direct administrative support to the Service Director as well as general administrative support to the Service as outlined below.
ACCOUNTABILITIES/RESPONSIBILITIES:
1. Track the IT Inventory of the Service. Manage new purchases allocation of equipment to staff asset repairs and asset disposal. Register in GEMS and raise MPOs for equipment as well as the ordering of stationery.
2. Prepare all travel arrangements as required for CFOB staff and create Trips in weTravel. Support Staff in protocol matters in registering security clearance and accommodation.
3. Assist managers in the creation of mailing lists.
4. Process MSLS monthly payments for all lntI Consultants.
5. Organize workshops meetings and events. Make arrangements for catering services IT support and hotel bookings and travel for external participants if required.
6. Procurement actions for PR/MPOs to cover all nonfood requests including renewal/issuance of licenses.
7. Provide routine administrative ad hoc support to all CFOB Staff and deliver a range of requests to ensure that the Team is effectively supported including access to ShareSpace to assist in the booking of workspaces.
8. Maintain the Serivce Directors calendar for appointments Service and individual meetings daily and provide documentation as required.
9. Log in and out all CFOB correspondence for the Directors clearance/approval. Maintain a log and save in SharePoint as required.
10. Maintain tracking sheets of CFOBs budget and provide information the to Division Budget Focal Point for consolidation at Division level.
11. Provide administrative support to the Global Budget Committee and its Secretariat.
DELIVERABLES AT THE END OF THE CONTRACT:
Financial obligations of the Service are recorded in WINGS and payments are made on a timely basis.
IT assets are appropriately recorded and CFOB staff are adequately equipped.
Distribution lists are uptodate.
Decisions memorandum are clear circulated in a timely manner and shared appropriately.
Communications to the Global Budget Committee is accurately addressed concise and timely.
Conflicts within the Directors schedule are flagged and managed.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education:
Completion of secondary school education.
Experience:
Three or more years of experience in general administrative work.
Knowledge & Skills:
Knowledge of standardized business support work routines and methods.
Knowledge of WINGS module (travel procurement funds management) SPont and standard office software packages eg Excel & Microsoft word.
Uses tact and courtesy to give and recive inforamtion to/from a variety of individuals.
Pays close attention to detail to identify data discrepancies misrouting of correspondence inaccuracies formatting inconsistencies and typographical errors.
Ability to work to deadlines and follow clear instructions
Languages:
Fluency (level C) in English language. Desirable of other UN language.
