Floating Legal Secretary
We are seeking a highly skilled adaptable and techsavvy Floating Legal Secretary to join our team. This crucial fulltime position provides essential support across all firm practice areas by covering planned and unplanned absences for legal secretaries and the receptionist. The Floating Legal Secretary also assists with overflow work firmwide ensuring seamless operations and consistent support for our attorneys and clients. The ideal candidate will possess a strong foundation in legal secretarial work exceptional computer skills and a proactive approach to learning and utilizing new software systems in a rapidly evolving technological environment. Flexibility and adaptability are paramount for success in this role.
Key Responsibilities:
- Provide comprehensive secretarial and administrative support to attorneys and paralegals across all practice areas as needed.
- Seamlessly cover receptionist duties during absences including managing a multiline phone system greeting clients and visitors and handling mail/deliveries.
- Cover duties for other legal secretaries during vacations sick leave or periods of high workload.
- Prepare proofread edit and format legal documents correspondence and pleadings with accuracy and attention to detail.
- Manage attorney calendars schedule appointments meetings and coordinate travel arrangements.
- Assist with electronic filing in state and federal courts (where applicable).
- Maintain and organize electronic and physical files including proficiency in Document Management Systems (DMS).
- Assist attorneys with time entry using firm software.
- Handle overflow tasks and special projects from various departments as assigned.
- Maintain strict confidentiality of firm and client information.
- Adapt quickly to different practice area procedures attorney preferences and firm technologies.
- Proactively learn and master new software including phone systems DMS and billing platforms.
Qualifications:
- Proven experience working as a Legal Secretary in a law firm environment (3 years preferred).
- Solid understanding of legal terminology procedures and document formatting across multiple practice areas (or demonstrated ability to learn quickly).
- Exceptional computer proficiency including Microsoft Office Suite (Word Outlook Excel).
- Must possess strong technical aptitude and a demonstrated ability to quickly learn and effectively utilize new software applications and technologies.
- Experience with legal Document Management Systems (DMS) required; familiarity with Worldox and/or NetDocuments is a strong plus.
- Experience with legal timekeeping and billing software required; familiarity with Prolaw and/or iTimekeep is a strong plus.
