The Teleradiology Office Manager plays a pivotal role in ensuring the smooth and efficient operation of our client services and billing functions. This position is responsible for overseeing and managing the client service (CSR) and billing teams acting as a key liaison with our specialist team and providing essential administrative and project support for leadership. The ideal candidate will champion an exceptional client experience ensure key performance indicators (KPIs) are met and drive operational efficiency through effective team management process optimization and the strategic use of our support applications and functionality. This role requires strong leadership problemsolving skills a proactive approach and a commitment to maximizing team performance and engagement.
Essential Duties & Responsibilities:
1. Team Leadership & Development: Ensure the CSR and billing teams are thoroughly trained on all Standard Operating Procedures (SOPs) and consistently deliver highquality service meeting or exceeding established KPIs around call answering and first contact resolution (tickets). Coordinate the onboarding of new CSR and billing staff.
2. Issue Resolution & Process Improvement: Proactively identify and resolve complex issues related to service calls and tickets. Analyze system functionality and client processes to develop and implement effective solutions demonstrating originality and ingenuity in addressing challenges.
3. Billing Operations: Oversee the accurate and timely generation and distribution of invoices to clients. Ensure all billing information is complete and accurate. Manage the billing system and ensure its efficient operation. Develop and implement billing policies and procedures. Stay updated on changes in billing regulations and coding practices relevant to veterinary teleradiology.
4. Accounts Receivable Management: Monitor accounts receivable aging and proactively follow up on outstanding balances. Investigate and resolve billing discrepancies and client payment issues. Process payments adjustments and refunds accurately. Prepare reports on accounts receivable status and collection efforts. Implement strategies to minimize bad debt.
5. Staff Scheduling & Coverage: Effectively schedule CSR Billing Specialist and Resident working hours prioritizing optimal staff coverage for our 24/7/365 service. Focus on minimizing overtime for our 1099 staff while ensuring appropriate employee reader support. Strategicallystaff across various scenarios including holidays extreme weather events low and high caseloads vacations and varied specialist reading speeds. Provide regular monthly reporting on specialist scheduling levels and results.
6. Performance Monitoring & Reporting: Compile accurate and detailed reporting for Leadership on the CSR and billing teams including ongoing CSR statistics trends and specialist reading reporting to track key performance indicators (KPIs) staffing individual and shift reading time and revenue.
7. EndUser Support & Training: Provide technical support and enduser service when applicable including system and service demos to prospective clients and new specialist team members. Ensure the appropriate transfer of knowledge and expertise to other service team members as needed.
8. Technical Expertise & Mentorship: Leverage technical knowledge skills and experience to act as a mentor and resource for staff. Supervise the team in routine and unique service situations proactively identifying and eliminating individual team barriers to ensure excellent service delivery and a satisfying client experience. Meet regularly with individual members of the team monthly to help make their employment experience a satisfying one.
9. Project Management & FollowUp: Assign and monitor CSR and Billing projects and results ensuring proactive followup with clients in various scenarios to increase their use of our services.
10. Policy & Product Knowledge: Keep uptodate and informed on all VitalRads and Thrive corporate products services and policies especially with respect to parallel offerings and new initiatives (VGP VitalPACS onboarding of large client groups etc..
Education Requirements
High school education or GED required.
Associates or Bachelors degree in business preferred
LVT certification is helpful
Knowledge and Skill
Minimum of five years of previous relevant service experience required
Exceptional customer focus and ability to work under pressure; ability to anticipate and
seek to meet the needs and wants of the customer without being prompted
Advanced technical skills and experience related to cloud and webbased systems
Advanced analytical skills and proven ability to troubleshoot problems and look for
solutions
Must be a selfstarter and work well with minimal supervision
Strong verbal written and interpersonal communication skills
Advanced organizations skills and the ability to handle multiple service needs simultaneously
Highly proficient computer skills including familiarity with MS Office applications (Outlook Word Excel)
Experience in the following industries preferred: veterinary technology computer systems customer service.
