Overview
We have an exciting opportunity within our Human Resources department due to internal mobility. We are searching for an experienced Administrative Assistant who will provide support to the Senior Vice President and leadership within this dynamic Human Resources department. Seeking a career oriented professional with strong organization skills technical aptitude and business planning skills who enjoys a fast paced environment. Job Description
What youll get to do in this fast paced role:- Manage schedule for Senior Vice President/ Directors of the department including travel and time management
- Communicate and correspond on behalf of the Senior Vice President using professionalism and discretion
- Review and followup on outgoing and incoming emails on behalf of Senior Vice President
- Prepare presentation materials working at a Senior / Advanced level in PowerPoint ExcelandWord; interpret data / documents and create visual and written presentations for all levels of update and edit documentation on an adhoc basis.
- Answer telephone and direct phone calls accordingly
- Manage department filing system budget and expenses
- Perform department timekeeper duties
- Sort and distribute departmental invoices and mail
- Responsible for department requests including set up of conference calls ordering supplies booking meeting rooms
- Arrange departmental travel requirements; attentive to detail using best judgment to juggle multiple competing priorities and unforeseen events effectively
- Assist with and/or attend on and off site presentations as required; Prepare meeting rooms for department meetings such as arranging catering requirements / set up of peripheral equipment
- Request and coordinate new employee systems set up (as required)
- Perform other administrative duties as required including analysis and adhoc reports
