About the role:

The Assistant General Affairs supports the provision of an effective office reception desk at our Dsseldorf Branch in Germany and provides full Japanese Expats Service.
Key Responsibilities:
Key objectives:
Take care of all administrative work necessary for Japanese Expats and GA department
Work closely with Japanese Expats and GA Manager
Japanese Expats Service (TMNF)
Take care of househunting administrative formalities embassies family support school for children
Work closely with the TMNF payroll provider to take care of tax and personnel issues
Take care of TMNF expense Accounting
Process TMNF Online Banking on behalf of head office
Process TMNF monthly Accounting Reports
General Affairs
Take care of travel hotel and restaurant arrangements when needed/required
Occupy front desk with all associated tasks (visitors service managing incoming calls mails parcels)
Take care of office premises (Cleaning Schedule Property Management Office Supplies / Stationery Printer Copy Machine Kitchen)
Ensure that all utility systems are fully operational and inspected in accordance with preventive maintenance schedules
Organize company events catering
Report timely and accurately to his/her superior and is responsible for data accuracy
Adhere to ethical principles of the profession and acting in accordance with company policies and procedures
Take care of all other general affairs tasks given by the GA Manager that may arise
Skills And Competencies Required:
Bachelors Degree in any field
Several years of experience in office administration
Fluent in English Japanese and German
Fully computer literate (MS Offices proficient user)
Very good people and intercultural skills
Tactful reliablecourteous person who is able to maintain confidentiality
Very good organizational skills with ability to prioritize office work
Serviceoriented and customerfocused personality
Very good communication skills and a good team player
Able to take initiative whilst keeping relevant stakeholders informed
