We are looking for an experienced Contracts Assistant to provide Maternity Cover for up to 12 months to work in a busy but fun office in Waterlooville.
Schedule the installation teams for works.
Schedule the surveyors works.
Keeping the days used tracker up to date.
File installers paperwork in the appropriate contract folders.
Check and Submit expenses and timesheets.
Ensure skills/competency/training documentation for directly employed and Subcontract installers are monitored and up to date.
Support Project Managers requirements in a timely manner.
To answer incoming telephone calls for the Contracts Team and support where possible.
To maintain and run van stock for all installation teams.
Sending out all new UK projects and making sure they are assigned in a timely manner.
Make up and send out Project Manager information packs for all new projects.
To update IFC certification website with all new projects/close out completed projects
Provide cover to the project Support Administrator by Producing Fitters Packs SOW and RAMS when necessary.
Making sure SubContractors quotes are approved and file in the appropriate contract folders.
Booking hotels for the contracts department and other departments if necessary.
Managing and making sure PCN charges are correctly dealt with and paid for if necessary.
Carry out such additional responsibilities as may be considered necessary by the Management.
