Reports to: Enrollment & Attendance Manager

Start Date: July 1 2025

Location: IOTA Central Office

Travel: reliable transportation required between campuses and to events/home visits

Purpose:

The job of Enrollment & Attendance Specialist is to support students & families with enrollment and attendance across IOTA campuses; meeting district state and federal requirements relating to attendance processes including parent notification; preparing and distributing attendance reports and materials; and facilitating school site teams through both daily attendance needs as well as reenrollment/new student recruitment.

Position is yearround with benefits. Work schedule is MondayFriday with extra hours required during heavy enrollment periods on weekends and/or evenings. This is an onsite role requiring consistent access to transportation to and between campuses conducting home visits and attending community events. Travel the first year is expected around Memphis with possible limited travel to Little Rock. Subsequent years will include more travel to the Little Rock area.

JOB DESCRIPTION:

This job works closely with the School Counselor and school site teams and reports directly to the Enrollment & Attendance Manager. This role is often the first point of contact for families interested in enrolling in the school as well as regarding barriers to attendance.

Essential Functions:

  • Communicates with parents students staff etc. in person by telephone email text or letter for the purpose of providing information on a variety of attendance issues and meeting district and state absence notification requirements.
  • Works closely with the School Support team to identify atrisk students and to create detailed and individualized student support plans.
  • Tracks the effectiveness of individualized student support plans and makes adjustments needed according to the data.
  • Ensures accuracy of attendance records including verification of forgeries and truancies for the purpose of complying with State laws governing attendance accounting.
  • Maintains all documentation regarding SART process
  • Engages in data analysis regularly and adjusts practices by planning a response to the findings and creating action plans designed to address and reduce chronic absenteeism or student attendance barriers.
  • Processes documents and materials (e.g. attendance records student placement disciplinary and/or suspension notices etc. for the purpose for tracking student attendance.
  • Conducting home visits where necessary and coordinating with families to resolve attendance barriers
  • Oversees attendance and enrollment communications with School Messenger robocalls and is responsible for creating and disseminating a weekly parent newsletter
  • Responsible for planning and developing one quarterly event to help bridge gaps between family and school
  • Attend after school family events weekend events and student recruitment events that may take place
  • Effectively communicating with students staff and parents
  • Maintaining documentation via SIS related to attendance intervention supports and exit information as appropriate to meet all deadlines
  • Support communications around reenrollment and enrollment of students
  • Execute enrollment strategy for the organization to ensure data is flowing between all stakeholders roles and responsibilities are clear and outcomes are being met
  • Facilitate recruitment events and participate in weekly team meetings at school sites to discuss reenrollment new student recruitment and lottery planning
  • Other duties as assigned.

KEY PERFORMANCE INDICATORS:

Year 1:

  • 75 percent of students on individualized student support plans show improvements as a result of datadriven planning and tracking
  • Support the annual recruitment and enrollment efforts with development of automation and training decks and timelines codification
  • 100 percent of all participants trained and automations monitored for accuracy
  • 85 percent of weekly schoollevel meetings implemented with clear agendas datadriven conversations resulting in attendance improvements and recruitment goals being met
  • In conjunction with Data team ensure 100 percent of data utilized is accurately supporting attendance recruitment and enrollment
  • 100 percent of students in the SART process receive at least one home visit resulting in parent communication and student attendance improvements

Ongoing:

  • 100 percent of IOTA campuses average 85 percent daily attendance for the school year
  • 100 percent of schoolsite staff taking attendance daily using correct processes/procedures
  • 100 percent of appropriate IOTA staff receive SchoolMint training by reenrollment kickoff
  • 90 percent of staff can communicate recruitment and enrollment goals at all time
  • 100 percent of IOTA campuses with a lottery meet or exceed their targeted goals
  • At least 85 percent of students accepted in the lottery convert to students
  • 100 percent of IOTA campuses meet their enrollment targets by September 1 annually (this will be broken down and tracked monthly to lottery or enrollment targets)
  • 100 percent of SIS errors resolved by the deadlines with year of year reductions in errors
  • 100 percent of student files in compliance ahead of all oversight visits or quarterly audit

Qualifications :

  • Experience working in a school environment or social work experience highly preferred.
  • Bachelors degree strongly preferred. Experience working with platforms such as Power School Google Suite Microsoft Word and Excel preferred.
  • Perform data analysis; read a variety of manuals/policies write documents following prescribed formats and/or present information to others; and understand complex multistep written and oral instructions.
  • Operate common office machines and software and office methods and practices.
  • Schedule activities and/or meetings; gather collate and/or classify data; and use basic jobrelated equipment.
  • Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods.
  • Ability is also required to work with a diversity of individuals and/or groups; work with similar types of data; and utilize specific jobrelated equipment. Some problem solving may be required to identify issues and select action plans. Problem solving with data may require independent interpretation; and problem solving with equipment is limited.
  • Specific abilitybased competencies required to satisfactorily perform the functions of the job include: being attentive to detail; communicating with diverse groups; working under time constraints; maintaining confidentiality and working with frequent interruptions.
