We are currently seeking a committed Executive Assistant to the CEOto join us on a permanent fulltime basis at our Blacktown location in the vibrant Parramatta & Western Suburbs of NSW.



Description

The position

The primary purpose of an Executive Assistant (EA) to a CEO is to act as the CEOs right hand enabling them to focus on highlevel strategy leadership and decisionmaking. The EA serves as a gatekeeper strategic partner and operational enabler by handling administrative tasks managing communication and ensuring seamless of the CEOs priorities.

The primary goal is to free up the CEOs time for strategic thinking and leadership by eliminating distractions increasing efficiency and ensuring smooth operations at the executive level.

Primary accountabilities of the role of EA to the CEO include but are not limited to:

  • Prioritising and scheduling meetings travel and events to maximise the CEOs efficiency.
  • Prepare agendas reports and briefing documents for meetings and Board engagements.
  • Preparing agendas taking minutes and ensuring action items are completed.
  • Handling sensitive company information and acting on behalf of the CEO when necessary.
  • Managing emails calls and messages ensuring only critical matters reach the CEO.
  • Assist in the preparation and distribution of Board papers reports and presentations.
  • Liaise with Board members and other stakeholders to coordinate meetings and events.
  • Maintain accurate records of Board meetings and governance documents.
  • Act as the primary point of contact between the CEO and internal/external stakeholders.
  • Draft and proofread correspondence reports and other documentation.
  • Facilitate effective communication between the CEO executive team and key partners.
  • Liaising with internal teams Board members investors and external partners.
  • Support strategic projects and initiatives as directed by the CEO.
  • Assist with policy development research and reporting on operational matters.
  • Coordinate and manage special events forums and sector engagement activities.
  • Oversee office systems records management and compliance documentation.
  • Maintain an efficient filling system (electronic and physical) for easy retrieval of documents.
  • Manage expense reporting invoices and budgeting requirements related to the executive office.
  • Identifying challenges offering solutions and helping the CEO make informed decisions.


Skills And Experiences

The candidate

Qualifications:

  • Tertiary qualification in Business Administration Management or a related field (desirable).

Experience & Skills:

  • Proven experience as an Executive Assistant preferably in a notforprofit or social services environment.
  • Strong organisational skills with the ability to prioritise multiple tasks effectively.
  • Excellent written and verbal communication skills with attention to detail.
  • High level of professionalism discretion and ability to handle confidential information.
  • Strong stakeholders engagement skills with experience liaising with executives Boards and external agencies.
  • Proficiency in Microsoft Office Suite Board management software and CRM systems.
  • Ability to work independently and collaboratively in a fastpaced environment.

Work Requirement:

  • Current Working with Children Check.
  • Clear National Criminal History Check.
  • Unrestricted NSW Drivers Licence.
  • Eligibility to work in Australia.

Immediate availability is preferred.
