Job Description

Human Resources Coordinator

Austin Pets Alive! (APA! and American Pets Alive! (AmPA! are leaders in the national animal welfare space with an international reach to impact the lives of pets in or at risk of entering shelters. is one of Austins most dynamic and bestloved nonprofits. APA! locally rescues treats and adopts out 10000 homeless dogs and cats each year providing the safety net for Austins most atrisk shelter pets which helps Austin to be a nokill city while also assisting other communities in saving homeless animals. The organization is distinguished by the spiness of its grassroots nontraditional communitybased animal rescue work. The organization continues to innovate best practices to save sheltered lives.

The HR Coordinator Talent Acquisition plays a central role in recruiting and hiring efforts across APA! with an emphasis on frontline and highvolume staffing. This position is responsible for sourcing screening scheduling and supporting the orientation and onboarding of new hires. This role may also provide essential projectbased and administrative support to the HR team including coordination of staff communications and training employee feedback activities (stay and exit interviews) workers compensation tracking and general HR operations.

ESSENTIAL FUNCTIONS:

The position may be responsible for some or all of the following duties and responsibilities;

1. Recruitment and Talent Acquisition
  • Partner with the HR Team and hiring managers to support recruitment needs across the organization particularly for highpriority and highvolume roles.
  • Confer with managers and hiring teams to determine staffing needs discuss diversity goals and develop departmental recruiting strategies.
  • Write post and manage job listings across job boards and internal platforms.
  • Proactively source and screen candidates using tools such as job boards resume databases scorecards and referrals.
  • Coordinate and schedule interviews between candidates and hiring teams.
  • Facilitate reference checks background screenings and offer letters.
  • Maintain accurate and timely candidate records in the applicant tracking system (ATS) and Human Resource Information System (HRIS).
  • Communicate with candidates throughout the hiring process ensuring an efficient and positive candidate experience.
  • Maintain internal job dashboards and hiring trackers to ensure transparency and alignment with leadership priorities.
  • Identify and recommend salary ranges based on pay structure start dates and other pertinent details.
2. Orientation and Onboarding
  • Conduct new hire orientation sessions prepare onboarding materials and provide introductory tours.
  • Support onboarding processes including new hire checklists documentation and systems setup.
  • Monitor and follow up on required training and onboarding milestones.
  • Collaborate with managers to ensure a seamless and informed onboarding experience.

3. Hiring Process Support and Hiring Manager Training
  • Provide technical assistance and deliver training sessions on the hiring process interview questions and techniques compensation strategy employment laws and other staffingrelated issues.
  • Collaborate and guide department managers to create strategic and behavioral interview questions or assessments.
  • Collaborate with managers regularly to gauge recruitment needs and maximize the effectiveness of the recruiting process.
4. Culture Engagement & Feedback Tools
  • Conduct and document stay and exit interviews; escalate trends or concerns to HR leadership.
  • Assist with periodic engagement surveys or recognition projects as needed.

5. HR Administrative & Project Support
  • Support administrative and projectbased HR work during slower hiring periods.
  • Create SOPs guides and tools related to recruitment and HR functions.
  • Recommend changes to procedures and processes to improve efficiency and effectiveness.
  • Partner with outside consultants and crossfunctional teams on special initiatives and internal workgroups.

Other HR Functions:
  • Cross train in HR Operations to provide backup support and assistance to other human resources staff and programs to ensure continuity of the human resources function during staff absences peak periods and strategic collaboration
  • Performs other duties as assigned; duties may differ slightly from this Job Description; all duties are outlined by the Director of Strategic HR or another individual designated by APA!

QUALIFICATIONS SKILLS & EXPECTATIONS:
  • Able to maintain confidentiality and professionalism at all times.
  • Previous experience with an applicant tracking system (ATS)
  • Excellent computer skills and proficiency in Word Excel Google Docs Google Sheets and Google Drive
  • Effective oral and written communication skills
  • Proactive and independent with the ability to take initiative
  • Excellent time management skills with a proven ability to meet deadlines
  • Skills in database management and recordkeeping
  • Ability to work well with a variety of staff and of job candidates
  • Sound judgment and decisionmaking skills
  • Familiarity with laws regulations and best practices applicable to hiring and recruitment
  • Must be able to identify and resolve problems in a timely manner
  • Must be able to gather and analyze information skillfully
  • Human Resources or Recruiting experience preferred
  • Effectively copes with change and shift gears comfortably
  • Effectively able to employ critical strategic thinking and process improvement
  • Attend and participate in all required training sessions and meetings
  • Maintain open and consistent communication with Program Manager or designee supervisor and other colleagues

PHYSICAL JOB REQUIREMENTS:
  • Prolonged periods of sitting or standing at a desk and working on a computer
  • Able to lift up to 20 pounds at times

WORK ENVIRONMENT:
  • Work is normally performed inside a standard office environment with exposure to environmental conditions that include working with and near animals
  • When onsite may have possible exposure to potential hazards including animal waste disinfectants high levels of noise animal bites and scratches and diseases that can be transmitted from animals to people
  • May be required to work remote some or all of the time during COVID but onsite duties are prioritized
  • Uses own transportation to travel and transport
  • Hardware issued by APA

LOCATION:
  • Town Lake Animal Center 1156 West Cesar Chavez Austin TX 78703 (subject to change)
  • May travel to offsite locations as needed

TIME COMMITMENT
This is a fulltime position of a minimum of 40 hours weekly. May include weekends and oncall time as required.

OTHER FUNCTIONS:
  • Attend and participate in all required training sessions work groups and meetings
  • Maintain open and consistent communication with Program Manager or designee supervisor and other colleagues
  • Able to react to change productively and perform other related duties as assigned
  • Able to work evenings weekends and holidays as needed
  • Able to work in a high volume fastpaced highstress environment
