Job Posting Summary

This entrylevel position in research administration provides key highlevel administrative support for the Associate Provost for Faculty Affairs Research and Academic Initiatives the Office of Sponsored Programs (OSP) and the Institutional Review Board (IRB). This person contributes to productivity and effectiveness in these offices by establishing and enhancing systems and processes for data collection and reporting as well as policy compliance; organizing events for presentation and development of student and faculty research; assisting in grant and funding discovery; supporting the work of the IRB to ensure compliance with relevant and emerging regulations and related risk management issues; and preparation of workshop materials for grant recipients IRB applicants and others engaging with grants and researchrelated pursuits. This position provides an opportunity for professional growth for a person willing to develop or enhance grant writing and research management skills. The next Manager will have or develop an understanding of (a) grantmaking and grantwriting and (b) the IRB process and the role that process plays in ensuring protection of the rights welfare and wellbeing of subjects involved in research. In addition the Research and Grants Manager provides occasional administrative support for Mercys Center for Global Engagement.


A. Administrative/Technical/Service

  • Improves operational systems processes and policies in support of the Universitys mission as realized in research and grants that support scholarly and institutional aims; specifically to support better information flow management processes and organizational planning in OSP IRB undergraduate and faculty research efforts and other grant or researchrelated areas or projects.
  • Assists the Faculty Development Committee (FDC) by
    1. Managing processes for Faculty Development grants and course release awards including automated applications and dissemination of related information;
    2. Managing the Faculty Development budget and keeping track of awardee expenses;
    3. Maintaining FDC website content and Faculty Development Grant awardee guidelines;
    4. Maintaining steady correspondence with faculty award recipients regarding award deadlines and others updates as needed; and
    5. Drafting minutes for FDC meetings.
  • Manages processes for other research awards as made by the Office of the Provost including financial transactions.
  • Drafts data reports on past and present faculty award recipients.
  • Works with Purchasing Department Finance IT and vendors on procurement of and payment for services/supplies on behalf of faculty and the Provosts Office.
  • Organizes faculty professional development events:
    1. Monthly Research Salon meetings
    2. Faculty Recognition Ceremony poster sessions
  • Collaborates on organization of student research events (inperson or online) including the Westchester Undergraduate Research Conference.
  • Works with Associate Provost and the Schools to collect analyze and create reports on data related to faculty and student scholarship.
  • Assists the Institutional Review Board (IRB) Chair and committee by
    1. Sustaining excellence in communications and records (correspondence and documentation);
    2. Maintaining IRB data including the online application process;
    3. Managing efficient procedures to facilitate processing of human research protocols in accordance with Mercy federal accreditation and state policies and procedures;
    4. Meeting compliance and quality assurance goals;
    5. Attending monthly IRB meetings and drafting minutes;
    6. Circulating correspondence to IRB members on behalf of the Chair as needed;
    7. Maintaining the IRB website
    8. Drafting yearly IRB reports as needed.
  • Maintains CITI Program subscription (training program required for research involving human and animal subjects) and related informational documents.
  • Serves as point person for CITI Program offerings on behalf of the University (faculty staff and students)
  • Assists the Office of Sponsored Programs by
    1. Conducting grant discovery by researching funding agencies and opportunities.
    2. Researching topics of interest and gathering data for grant proposals.
    3. Assisting with production and publication of Grants Alert or other OSP publications.
    4. Maintaining files and documentation related to grant applications.
  • Assists with preparation of reports grant (or other) proposals correspondence training manuals and other materials as relate to grants and research.
  • Contributes to maintenance ofwebpages and other communication channels for OSP IRB and other research and grants infrastructure.
  • Works with Associate Provost Director of OSP and FDC and IRB Chairs on special projects.
  • Works with Director of Mercys Center for Global Engagement on Center projects and events to provide administrative support.
  • Performs other duties/projects as assigned.

C. Communication/Relationships

  • Develops and maintains constructive and cooperative working relationships with others.
  • Demonstrates a professional courteous and respectful attitude in working with faculty staff students and other members of the Mercy University community.

E. Policies and Procedures Compliance

  • Complies with policies and procedures of the Office of the Provost and the University including the Universitys Code of Conduct.
  • Identifies and reports gaps in policies and procedures to management.
  • Complies with all required training.

Qualifications

EDUCATION REQUIRED

  • Masters degree required

EXPERIENCES OR SKILLS REQUIRED

  • Excellent verbal and written communication skills
  • Solid research and information gathering skills
  • Confidence and competence to work independently and prioritize a complex workload that supports multiple units
  • Ability to perform tasks with a high level of accuracy confidentiality and attention to detail
  • Writing skills as are applicable to correspondence reports and grant (or other) proposals
  • Ease in handling conventional correspondence schedules and administrative activities
  • Excellent computer skills particularly in Banner (or similar enterprise system); MS Excel Word and Outlook; Formstack and Microsoft Forms; and Adobe Acrobat
  • Commitment to high professional ethical standards and a diverse workplace
  • Ability to travel between locations required
