Position Overview

The Outpatient Coordinator & Billing Specialist is a dualfunction role responsible for managing the client intake and scheduling process while ensuring accurate and timely billing for outpatient mental health services. This position is ideal for someone who is highly organized personable and thrives in a fastpaced missiondriven environment.
Key Responsibilities
Client Coordination:
Serve as the first point of contact for new outpatient clients guiding them through intake and onboarding.
Schedule therapy and appointments based on clinician availability and client needs.
Coordinate care across Thrives multiple locations and providers ensuring documentation is uptodate in the EHR.
Communicate with clients and families with empathy professionalism and discretion.
Support clinicians by managing schedule changes appointment reminders and followups.
Billing & Claims Management:
Verify insurance coverage and obtain authorizations as needed.
Submit claims to Medicaid and commercial insurance providers in a timely and accurate manner.
Track claim statuses manage denials and follow up on unpaid claims.
Process client copayments and invoices.
Reconcile billing issues and generate reports for the leadership team.
Requirements:
Minimum 2 years experience in behavioral health or medical office administration with exposure to both client coordination and billing workflows.
Working knowledge of CPT codes ICD10 insurance billing practices and HIPAA compliance.
Experience using EHR and billing platforms Opus EHRPractice Suite Availity or similar.
Strong communication skills attention to detail and multitasking ability.
Passion for supporting individuals and families seeking mental health services.
Preferred Qualifications:
Experience with New Jersey Medicaid or private pay billing.
Bilingual (English/Spanish) strongly preferred.
Familiarity with The Thrive Networks service model and values.
