Job Description

Irwin Lincoln Mazda proudly familyowned and operated since 1960 has built a legacy of excellence in automotive sales and service. With over six decades of commitment to customer satisfaction and community values were looking to add a detailoriented and experienced Automotive Controller / Office Manager to our team.

Position Summary:
The Automotive Controller / Office Manager will be responsible for managing and overseeing the financial operations of the dealership. This role ensures compliance accuracy and efficiency in all accounting and office procedures. The ideal candidate will have a strong background in dealership accounting and office management.

Key Responsibilities:

  • Manage Accounts Payable and Accounts Receivable processes

  • Prepare and submit Form 8300 and 1099 documentation

  • Process payroll accurately and timely

  • Post deals into the accounting system and verify for accuracy

  • Handle daily bank deposits and monitor cash flow

  • Monitor and reconcile schedules and general ledger accounts

  • Perform weekly account reconciliations

  • Oversee endofmonth closing procedures

  • Administer and monitor compliance with all financial and regulatory standards

  • Coordinate with external accountants vendors and internal departments

  • Support dealership leadership with financial reporting and analysis

Qualifications:

  • Minimum 3 years of experience in automotive dealership accounting

  • Strong knowledge of dealership financial operations and compliance

  • Proficiency in dealership management software (e.g. CDK Reynolds & Reynolds or similar)

  • Detailoriented with excellent organizational skills

  • Ability to work independently and lead a small office team

  • Strong interpersonal and communication skills

  • Experience with federal and state compliance requirements related to 8300s and 1099s
