The University of Tennessee Foundation Inc. (UTFI) invites applications and nominations to fill the position of Advancement Assistant III Alumni Relations for the University of Tennessee Knoxville. Reporting to the Executive Director of Alumni Relations the Advancement Assistant III is responsible for serving as the receptionist and office manager for the Tyson Alumni Center. Primary responsibilities are facility management including parking and facility reservations safety protocol management and other needs associated with physical office space; and serving as the primary point of communication with internal and external stakeholders with frontline responsibilities for the units primary phone line central email account(s) and onsite visitors and guests.
Job responsibilities include but are not limited to:
Front Desk Administration: Serve as front desk receptionist for Tyson Alumni Center Monday through Friday from 8:00 am 5:00pm. Manage Tyson Alumni Center primary communication lines including multiline phone system and central alumni email account. Monitor reply and when needed escalate emails received.
Budget & Administration: Maintain the offices administrative budget through monthly budget monitoring and ledger reconciliation. Pull appropriate documentation for all charges and resolve any discrepancies in account charges. Assist with the onboarding of new employees as well as management of employee exit process including parking passes keys technology nametags and training of Tyson Alumni Center procedures.
Facility Management: Serve as the approver for Tyson Alumni Center event requests from other campus units through the universitys event system. Schedule and approve all meeting space requests for the Tyson Alumni Centers conference room and parlor through this system.
Alumni Chapters Support: Manage all administrative duties related to the Alumni Chapter program including vendor payments event registrations Chapter staff travel and more. Manage listings of Alumni Chapter leaders contact information ensuring compliance with leadership requirements. Collaborate with the Director and Assistant Director of Alumni Chapters to create an onboarding program for all new alumni chapter leaders.
Required Education and Experience
The candidate who fills the Advancement Assistant III position is required to have:
A valid drivers license with an acceptable driving record is required due to travel responsibilities of the position. UTFI reserves the right to consider all appropriate circumstances. In general any significant driving offense less than 12 months old will eliminate the application from consideration for the position.
Note Candidates holding a bachelors degree must have at least 1 year of experience.
