As the first point of contact for our dealership the Receptionist/Administrative Assistant plays a key role in ensuring a smooth professional and positive experience for all visitors and clients. This position is perfect for someone who thrives in a fastpaced environment loves interacting with people and has a passion for the automotive industry.

Heres what youll be doing

You will be the welcoming face of our dealership playing a key role in establishing an outstanding experience for each guest from the moment they walk through the door. You will be responsible for managing frontdesk operations supporting administrative functions and providing exceptional service to customers in person and over the phone. Thisrole is pivotal in maintaining an organized and friendly environment ensuring smooth operations within our dealership.

Key Responsibilities:

  • Front Desk Management:

    • Greet and welcome customers ensuring a warm and professional reception.
    • Answer and direct incoming calls in a courteous manner managing multiline phone systems.
    • Manage customer inquiries schedule appointments and direct clients to appropriate departments (sales service finance).
    • Maintain the cleanliness and organization of the reception area ensuring it reflects the high standards of the dealership.
  • Administrative Support:

    • Provide administrative assistance to various departments including sales service and finance.
    • Assist in maintaining customer databases updating records and inputting data accurately.
    • Handle clerical duties such as filing photocopying scanning and completing licensing documentation.
    • Assist with preparation of reports documentation and communications as needed.
    • Coordinate incoming and outgoing mail packages and deliveries.
  • Customer Service Excellence:

    • Be the dealerships ambassador providing customers with information about services promotions and vehicle inventory.
    • Assist with customer checkin for service appointments ensuring a smooth handoff to service advisors.
    • Monitor and follow up on customer inquiries to ensure timely and effective resolution.
    • Respond to email inquiries and follow up with customers regarding appointments and services.
  • Appointment and Scheduling Management:

    • Maintain and manage the dealerships calendar for meetings appointments and test drives.
    • Coordinate customer service appointments vehicle deliveries and sales meetings.
  • General Office Tasks:

    • Assist in organizing dealership events meetings and other special functions.
    • Handle any additional tasks or projects as requested by management.

You need these qualifications

  • Previous experience as a receptionist administrative assistant or in a customer service role.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks simultaneously in a fastpaced environment.
  • Understanding of the importance of providing an exceptional customer experience to both internal and external customers
  • Proficient in Microsoft Office Suite (Word Excel Outlook) and familiarity with CRM systems.
  • A friendly professional demeanor with a customerfirst attitude.
  • Ability to work independently as well as part of a team.
  • Positive attitude and a willingness to take initiative.
  • High school diploma or equivalent.

It would be nice if you

  • Haveprevious experience in the automotive industry.
  • Have additional education or certifications.
  • Have a Valid Ontario G Drivers License with no demerit points
