Position Details:
The Accounting Associate supports the Director of Finance and Inspections by performing a variety of financial and administrative duties. This role requires strong time management and organizational skills as it involves both accounting and administrative core duties. The Accounting Associate plays a crucial role in maintaining accurate financial records ensuring regulatory compliance and supporting membership and inspectionrelated activities.

What youll do

Responsibilities

Accounts Payable & Receivable

  • Code and process accounts payable invoices for entry into accounting software.
  • Prepare and issue accounts receivable invoices and post payments.
  • Reconcile monthly credit card transactions and vendor statements.

Financial Data Management & Reporting

  • Import and allocate financial transaction files from Association Management System (AMS) to accounting software.
  • Maintain accurate financial records by assisting with reconciliation of bank accounts credit card statements and general ledger accounts.
  • Maintain financial reconciliation worksheets including but not limited to prelicensing course revenue reconciliation and members general liability insurance reconciliation.
  • Assist with yearend audit preparation.

Membership & Insurance Processing

  • Assist with and/or provide backup support for processing of membership applications received through the associations membership dashboard including invoice calculations and payment processing.
  • Assist with biannual bulk membership invoicing preparation and payment processing.
  • Issue certificates of insurance for members as required.

Administrative & Committee Support

  • Provide administrative assistance for finance and inspectionrelated committees including scheduling meetings preparing agendas and drafting minutes for Finance Committee E&O Claims Committee and Inspection Team.
  • Organize and maintain both electronic and paperbased finance and inspection records.

Other Duties

  • Support special projects related to finance and inspections as assigned.
  • All other duties as assigned.

What youll need

Qualifications

Key Competencies & Skills:

  • Strong attention to detail ensuring all financial transactions are processed and reconciled accurately.
  • Excellent time management and organizational skills with the ability to prioritize multiple tasks and meet deadlines in a fastpaced environment.
  • High ethical standards and confidentiality in handling sensitive financial or other information.
  • Strong written and verbal communication skills allowing for professional interaction with internal teams external contacts and members.
  • Proficiency in accounting software Microsoft Office suite spreadsheets (Excel) and database management systems.
  • Strong understanding of financial regulations bylaws legislation and procedural guidelines.

Qualifications & Experience:

  • Postsecondary education in Business Administration Accounting Finance or a related field.
  • Proven experience in accounting bookkeeping or financial administration.
  • Knowledge or background in the real estate industry is an asset.
  • Bilingual (English and French) is an asset but not required.

Working Conditions:

  • Fulltime position Monday to Friday 8:30 AM 4:45 PM with occasional overtime as needed.
  • Occasional travel may be required for meetings training or audits.
